[BFET] FFY21 BFET Budget Workbook

Good Morning BFET Team,

Attached is the FFY21 BFET Budget Workbook. After a quick review of the tabs of the workbook there was only one significant change (highlighted below). To allow time for your review of the workbook and questions the WebEx meeting has been moved to Tuesday, May 26th from 9:00 am to 10:30 am and the invite is included in the body of this email. Additionally, DSHS BFET is hosting a WebEx to go over the entire contractor renewal packet on May 27th from 8:30 am to 10:30 am. I have attached that invite to this email. You are welcome to attend, however, there is no requirement.

Changes to the Workbook:
Participant Reimbursement (Tab 4) – Medical is now separate from Child Care

Important Information:
As you develop your budget and analyze your projected needs for FFY21, please keep in mind:

·       Workbooks will be vetted for completion and accuracy

·       Review expenditure trends from current and prior FFY

o   Where were you over or under in expenditures?

o   Accurate projections for:

§  Staff Salaries & Benefits (make sure to include any COLA increases expected for FFY21)

§  Goods & Services

§  Travel for the entire FFY

§  Participant Reimbursements (for each PR category you will offer)

·       Review the SBCTC Data Dashboard for enrollment trends https://www.sbctc.edu/colleges-staff/research/data-public/enrollment-data-dashboard.aspx

o   Funding should be relative to the number of students you anticipate serving

o   What was your annual and quarterly enrollment for the previous FFY?

o   What is your enrollment for the current FFY? Are you on target?

o   Are you projecting an increase/decrease in enrollments for FFY21?

o   When looking at employment data for projections of those entering employment for FFY21 use the number of students you reported employment for in eJAS (this is what DSHS uses)

·       Review FFY20 BFET Budget Workbook

o   Are revisions needed? If so, what? Please note if revisions are made to your workbook you need to resubmit to jdellinger at sbctc.edu<mailto:jdellinger at sbctc.edu>.


PLEASE READ THE INSTRUCTIONS BELOW AND IN THE WORKBOOK FULLY PRIOR TO COMPLETING

Important information:

1)      Instructions throughout the workbook are highlighted in blue

2)      ALL areas throughout the workbook that are highlighted in green MUST be fully completed

3)      Total Budget Tab – cells will auto-populate as you complete the rest of the workbook

4)      Detail Worksheet Tab – complete rows 25 through 106 for rows 11 through 20 to auto-populate

5)      Participant Reimbursement Tab –
enter in:

a.       anticipated number of students you will serve for each category under the coordinating components (VE, BE etc.),

b.       total amount for each category under each component, and

c.       calculate the amount per (total amount/estimated students)

6)      Performance Tab –

a.       complete prior FFY carryover and all 4 quarter new enrollments for your program, each student only counts once for each activity in the first quarter they enroll, unless there has been a gap in service of 180 days or more.

b.       When looking at employment data for projections of those entering employment for FFY21 use the number of students you reported employment for in eJAS (this is what DSHS uses)

c.       For rows 32 through 52, insert all programs your institution offers that are BFET approved activities under coordinating components (BE, VE etc.)

7)      Cost Allocation Tab – complete ALL areas of this tab – if it does not apply please input N/A

8)      Lease Calculation Tab - this is not for Colleges

9)      Save your workbook as (BFET Budget Workbook FFY21_Your College Name)

Workbooks must be completed and submitted to Jennifer Dellinger at jdellinger at sbctc.edu<mailto:jdellinger at sbctc.edu> no later than Friday, June 5th, 2020.
