**Important notice and request for SMEs running processes in PeopleSoft – ctcLink**

Hello FA Administrators,

Problem:
We have observed a high volume of failed Financial Aid processes in Process Monitor. A failed instance will have a status of Error or No Success. For most cases, when a user has two failed instances for a process accumulated in Process Monitor, they will no longer be able to run that process successfully until those failed instances are purged. This issue can occur both within JobSets and with individually run processes. Not purging failed processes, in some cases, can also impact other users across ctcLink and prevent further processing.

Action Required:
Please notify FA Support via a Service Desk ticket as soon as possible when you have a process or JobSet that has failed. We will then work with you, and potentially our Application Services Team, to either purge the process instances or investigate further.

Contact List:
Please review your college’s information in the attached contact list and email any updates to fasupport at sbctc.edu<mailto:fasupport at sbctc.edu>. We are particularly interested in those who regularly run key Financial Aid processes (ISIR JobSet, Origination, Disbursement, and Dual Processing).

Tickets reporting failed JobSets and processes should include the following information:

  *   User ID that ran the process(es) that did not run to Success
  *   Process Instance number(s)
  *   Screenshot of Process Monitor displaying the failed process(es)
  *   Sceenshot of the Details page for the JobSet (if applicable) and failed process(es)
  *   Screenshot of the Message Log
  *   Log file from View/Log Trace
  *   Screenshot of the Run Control and Edit Prompts for the failed process(es)
  *   Any information or circumstances that you believe may have caused the failure

Reviewing Process Monitor:
Please remember to review Process Monitor each time that you run a JobSet or process to check for errors and confirm that the processes are running correctly.
