Subject: Re: Vector Recap Meeting
Hi Julie and all,
When is the deadline to decide for certain we are moving forward a renewal with Vector or not? Below are a few items to consider.
1. Vector meeting - Vicki and I are reaching out to Vector reps ASAP to request a meeting. The purpose of the meeting will be to review Vicki's testing report in detail. @Julie Huss<mailto:jhuss at sbctc.edu> and others - would you like to attend this meeting?
1. The roadmap - The projected fixes that Vector sent us is a great sign and a good start. However, we must remember that Vicki tested only two modules - not every single module our colleges have access to or use. This means there is great potential for more accessibility issues and violations to exist throughout the platform. That said, if their design team uses templates across the platform, then certain fixes in one module should extend to other modules, in theory.
1. Contract language and written assurances - If it has already been decided to renew with Vector, then this is where our true power and safety net exists. We must update our contract with Vector to include stronger accessibility requirements in alignment with ADA Title II, including timely updates to their roadmap. I also advocate that we communicate that if the most critical issues on the roadmap are not fixed before our next renewal due date, we cannot in good faith continue to be their customer. @Abraham Rocha<mailto:arocha at sbctc.edu> - I hope this is something we can partner on.
Thank you!
Monica

Thank you to Monica Olsson and Vicki Walton for your work with Vector on the accessibility concerns and remediation.

We will see how much it would cost to add the translation services and see if there is something like the "voices for change" training.
I though the "understanding opioid and fentanyl misuse" was part of our current access. If it isn't, I will be sure to mention that as well.
Laura,
If you are able to check in with SSEMC and see if what is currently available is meeting their needs, other needs, etc. That would be helpful.
I want to make sure we get feedback from the various groups before we lock something in.

Hi,
Here is some feedback from the people I circulated the information to:
"We definitely need the translation packages for both student and employee.
It would be helpful as a state to have Understanding Opioid and Fentanyl Misuse. That would better meet the state requirement and I thought we would have access to it.
In a perfect world, they would bring back something like Voices for Change that have all the items we need in about an hour.
There are some offerings in the Human Resources and Workforce Management, Health and Safety, and Harassment, Discrimination..., section that look useful."

They did not provide us with a new accessibility contact or a new VPAT during the meeting. I was really a preliminary meeting to discuss what we need to do to get an extension amendment signed. So those are things that are on the list, thanks for reminding us about getting a new VPAT.

Hi All:
Abraham and I met with folks from Vector this week to talk about renewal. We relayed the desires and concerns addressed below and they were going to look into some of things (specifically those struggling with implementation and where things are at with accessibility).
We also indicated that colleges may be interested in expanding their access to content. Here is the employee course catalog<https://vector-solutions.my.salesforce.com/sfc/p/#41000000dzt8/a/4N000002vUaz/hd_qiMREs3cmK2sgzVdK.Veq70CmzxLiyZzgYEOvivs> and student course catalog<https://vector-solutions.my.salesforce.com/sfc/p/#41000000dzt8/a/4N000002vHRa/2SwfbTmP51pUtzosFRXFUV5Q_BgCU7TH69s6tVdL0Po>. I know some colleges have contracted for additional courses but I am wondering if there is broad consensus around the particular packages we may want them to add to the collective contract? HR onboarding was raised along with safety and security. Are there ones on the student side? Are you able to give the catalogs (linked above) a look and provide feedback? Are there any courses that we "thought" we would have access to do that we don't?
Another thing that has been mentioned is the addition of translation services. There is an "expanded package" of translations which would include having access to trainings in the following languages:
Expanded Translation Pack including Spanish (US), Spanish (European), Spanish (Mexican), French (Canada), French (European), Arabic, Chinese (Simplified-Mandarin), Chinese (Traditional-Mandarin), Filipino, Tagalog, German, Hindi, Italian, Japanese, Korean, Portuguese (Brazilian), Portuguese (European), Russian, Thai, and Vietnamese
Please let me know what you think and share with your particular groups for feedback.

Hi Julie and all,
Thank you for the meeting recap!
Re: accessibility, below are the steps I recommend before we re-sign a contract with Vector. I hope we will have several weeks to accomplish this
1. Request the most current and up to date VPAT from Vector - who is the main contact now?
2. Monica and Vicki review the VPAT.
3. Accessibility meeting with Vector to discuss VPAT concerns and request clear Product Road Map for scheduled fixes.
4. Ask WWU if their team has done any recent accessibility functional testing of the platform, and if so, request access to those reports.
5. Vicki receives access to two different Vector modules(high use ones in our system) for functional accessibility testing. The testing reports should be shared with this team, other decision-making stakeholders, and CATO.
6. Testing reports are shared and discussed with Vector - gives them the opportunity to respond to documented WCAG violations.
7. Ask WWU if they have updated accessibility requirements included in their contract with Vector, and if so, request access to this language as an example for our team.
8. Abraham and Monica work together to draft stronger accessibility agreement for contract extension with Vector.
Hope this helps our efforts,
Monica

Subject: Vector Recap Meeting
Hi All:
Thank you for those that were able to make it today to talk about next steps with our system training platform. Below is a recap of the discussion. For those in attendance, please feel free to add anything I may have missed.
General Takeaways:
* We have had a system contract for training for a number of years. It has changed vendors a number of times. Most recently it was Vector, Vector sold to Get Inclusive, and then Get Inclusive sold back to Vector. Each change comes with some degree of challenge and work to implement and deploy.
* Colleges are using Vector for a variety of training needs on both the employee side and the student side.
* Colleges have entered into additional contracts and services with Vector to meet individual training needs.
* There is a desire to have access to have as many trainings as possible to meet training needs on a plethora of topics: HR onboarding, legislation requirements, student training needs, bias training, EDI, safety and security, Title IX, etc.
* There have been issues raised with accessibility. Some testing has been done. We would want to ensure moving forward there is a mechanism to work with Vector to report accessibility concerns with a time frame or process for remediating.
* Vector has the ability to allow colleges to customize content by adding and removing content in particular trainings.
* Tracking completions seems to be user friendly in Vector.
* Responsiveness from Vector from individual colleges reaching out has been positive.
Options:
* We have discussed going out to bid to see if there is another vendor that may be able to meet system needs or,
* Work with WWU's contract to see if language can be added to address needs (specifically addressing accessibility and access to a broad catalog).
Conclusion:
Based on the conversation, it sounds like more colleges are expanding their use of Vector and have integrated it on their campuses. There is a desire to maintain the continuity with a vendor and work with them to address any current concerns moving forward v. going out to bid.
Abraham is going to connect with WWU again. Through previous conversations with WWU, Abraham was able to have them address some of the things raised by our system requests and needs. We are going to pursue that avenue to roll the contract forward (it would renew in fall).
Abraham will reach out in March to this group with an update.
Please let me know if you have questions.
Sincerely,
