Providing Sexual Orientation and Gender Identity (SOGI) information in ctcLink

The functionality that allows students to provide Sexual Orientation and Gender Identity (SOGI) information is now available in ctcLink Campus Solutions.

*       Students will be able to add or modify this information through a new Personal Details page under the Profile section on their ctcLink Student Homepage.
*       Authorized staff will be able to add or update this data for students on the Add/Update a Person page.

The request for enhancements to ctcLink to provide this functionality was developed by the community and technical college system's Data Governance Committee and approved by the ctcLink Working Group. The request included several components:

For Campus Solutions (students)
*       Activate the new Campus Solutions 9.2 Oracle PeopleSoft-delivered page in the student's profile to collect both sexual orientation and gender identity.
*       Add language to the new SOGI page to explain the purpose for collecting the information (See the "Why collect?" statement in the data brief<https://www.sbctc.edu/resources/documents/colleges-staff/commissions-councils/dgc/data-brief-sexual-orientation-and-gender-identity-proposal.pdf>).
*       Create new security roles to limit access to SOGI data.
*       Modify the label of "Gender" to "Sex" to better differentiate between the collection of sex and the collection of gender identity.
*       Add language to the demographic data collection pages to provide the legal definition of sex.
*       Modify the Oracle PeopleSoft-delivered label of Sex "X" from "Indeterminate/Intersex/Unspec" to "Not exclusively male or female" to align with the Washington State legal definition of sex.

For Human Capital Management (employees)
*       Modify the label of "Gender" to "Sex" to better differentiate between the collection of sex and the collection of gender identity.
*       Add language to the demographic data collection pages to provide the legal definition of sex.
*       Modify the delivered label of Sex "X" from Indeterminate/Intersex/Unspec" to "Not exclusively male or female" to align with the Washington State legal definition of sex.

Additional details regarding new security roles and student communications will be provided to the appropriate college and SBCTC staff through the ctcLink and system email lists.

Next Steps
To complete this request, SOGI data functionality will be added to the ctcLink employee self-service module to provide employees the same functionality now available to students.
Unlike the Campus Solutions (student) self-service module, the employee self-service module in PeopleSoft Human Capital Management does not currently include this functionality.  Therefore, SBCTC will be working internally to develop a new biographic data collection page for employees. This work will begin later this summer. Once complete, SBCTC and college staff will test the new functionality before it is implemented for ctcLink colleges.
