We have electronic files. We have it set up very similar to a paper filing system. Each student has a file. The contents of that file are separated by academic years. Everything must be labeled a particular way as to indicate the qtr/year it is for. Anything not specific to a qtr/yr is kept in the main part of the file. The plan moving forward is that academic year folders can be deleted after the 6 year requirement to retain records expires. I have attached our instructions sheet about Digital Student Files.
We have also considered using LACES but I wanted to get a better feel for it before making any decisions. I have the same questions as you regarding storage capacity.
Have a nice day 😊

Subject: [laces_wa] Using LACES to create electronic student files
Good afternoon,
Transitional Studies at Columbia Basin College is still using physical files for students (*gasp! I know). We would like to transition to an electronic system, and were considering using the documents section in LACES to fulfill this need.
My question is have any other schools began to utilize LACES in this way, and if so, what processes have you implemented in order to achieve a smooth(ish) transition? Are there any issues to consider regarding storage capacity within the system that you are aware of?
If you already have an electronic filing system, I would be grateful for any insights in general regarding this endeavor. We are specifically looking at what must be included in the student files for both ABE and ELA.
I look forward to your responses. Any information is greatly appreciated.
Thank you for your time,
Danielle Reardon
