Additional Follow-up Questions from the Session:

Q. Why is that once I resolve the POP or MRR, the record is still appearing on subsequent reports?  Once I resolve it, isn't it supposed to fall off the report?

A. Yes, once you resolve it to confirm the award is correct, cancel it or adjust it down, etc., the record should fall off the MRR report.  However, when requesting the PGMR report from COD, if you request the report using a certain request code, you may continue to receive a comprehensive report of past and current POPs/MRRs that may have already been worked.

>From the EDExpress for Windows 2024-2025 Release 2.0 Desk Reference, here is how request types may come through in the PGMR file:

When the Pell DPA requests the PGMR in COD, the file may have been requested in a way that requests the same data already resolved, showing who COD disbursed to and who has disbursements from other schools.

Essentially, if there is a MRR or POP, COD automatically sends the file to the Pell DPAs SAIG Mailbox/EdConnect.  If there are none, and the file is requested by hand each month, this is why more data than is needed appears on the report.

Please contact COD Customer Service if you need assistance adjusting how your PGMR Request Type PGMR is delivered to your Pell DPA's SAIG Mailbox so you are not working additional records you have already worked.

The main takeaway is to ensure that any staff person responsible for the Pell Grant program IS RECEIVING these PGMR files to work as part of reconciliation.

Deciphering Raw PGMR Files and the Codes Therein:

Additionally, here is an example of a raw PGMR file with codes that need to be worked.  Note they begin with PR, PB, or CE (Concurrent Enrollment):

...Versus a raw data file that was requested containing comprehensive data of items that may have already been worked.  Note they all begin with RD (Disbursed Institution) and the School Code (Requesting school) follows the RD:

Q.  Why is the Pell MRR Status flag blank on the Manage Pell Payment page?

A. This status is typically updated when the PGMR file is loaded.  Due to the Oracle Bug where the COD Tech Ref removed the SSN and bio/demo identifiers from the Batch Report for the 24/25 AY, this flag will remain blank for 24/25 AY until Oracle resolves the bug.

Here's a screen shot from the 23/24 AY of what it would normally look like when functioning optimally before the SSN and Bio/Demo fields were removed from the Batch Report.
The CE code = Concurrent Enrollment, meaning the student shows enrollment and Pell records at both institutions.
