Good evening ctcLink FA Administrators,

Per the changes recently announced by WorkFirst Policy, we are ready to receive your requests for changes to your Global Item Types for WorkFirst.

The following item types may be impacted by this policy change:

912000002030    WorkFirst Books BE
912000002040    WorkFirst Books LS
912000002050    WorkFirst Books VE
912000002031    WorkFirst Books BE 2nd (for colleges using crossover item types)
912000002041    WorkFirst Books LS 2nd (for colleges using crossover item types)
912000002051    WorkFirst Books VE 2nd (for colleges using crossover item types)


If you plan to reimburse or supply your WorkFirst Students with these book cost funds, please submit an item type request ticket for your WorkFirst Books item types to pay bookstore charges and refund.

Your college may not yet have a Charge Priority List of FBKRFUND, but our SF Support Team can get one created for you.


REMINDER:
Attached please find a list of all global WorkFirst Item Types.

Please note, as of FY22, you should be transitioning to using the global item type numbers for this program. This list includes OPTIONAL “Crossover” item types that not all colleges are using.

Student Support Funds:
There are also additional student support funds that allow you to with pay off and/or reimburse students for charges incurred.

If you would like your Student Support funds to be reimbursed to students, you may need a new charge priority list that pays off Miscellaneous Fees and also Refunds to students.

This is a gentle reminder to submit that request.

Not all colleges apply charges and reimburse students in the same way, so this is local decision.


How to Submit a Request for Changes:
To request global item types created for WorkFirst Books or update GITs for your college, please open a ticket under the following. SolarWinds request type: ctcLink Support • Campus Solutions • SF FA • Item Types.

You may use a spreadsheet to request multiple item type changes. Please include the necessary signatures on the item type form and add a note “See attached spreadsheet.”

WORKFIRST POLICY UPDATE: Change to WorkFirst Book Global Item Types

Recently, Student Support Programs worked closely with Campus Solutions – Support/Financial Aid staff to review policies for awarding and disbursing funds for WorkFirst Books.

This Canvas announcement serves as an update to the WorkFirst Books policy. You can find policy guidance and WorkFirst global item types (GITs) in the FY23 WorkFirst Delivery Agreement<https://sbctc.instructure.com/groups/471835/files/201235170?wrap=1> program grant guidelines under Support Services Awarding Financial Aid.

Current Policy:

The WFDA Fiscal Guidelines <https://sbctc.instructure.com/groups/471835/files/201235233?wrap=1> policy states “Grant funds may not be given directly to a student”. Currently, WorkFirst BE, LS, and VE Books global item types are set as non-refundable with the refund indicator of “N”.

New Policy:

To give colleges the flexibility to best support their WorkFirst students - effective the date of this announcement, colleges may award WorkFirst BE, LS and VE Books as disbursable to the student or continue to pay the bookstore charges directly. Grant funds used for Tuition and Fees may NOT be given directly to a student.

How to Request or Update GITs:

To request global item types created for WorkFirst Books or update GITs for your college, please open a ticket under the following. SolarWinds request type: ctcLink Support • Campus Solutions • Student Financials • Item Types.

We hope this update to the WorkFirst Book GITs policy will create less barriers for students as well as colleges. We appreciate all your hard work to effectively engage with and serve WorkFirst students.
