[Wsssc] Action Needed: Workplan sign-up, Bylaw vote, and Student Success Tool Identification

Dear WSSSC Colleagues,


I hope you are enjoying this wonderful mid-November weather and are excited for a few day break next week to recharge. You all deserve it! On behalf of the WSSSC Executive team, I wanted to touch base on three items we need your action on:

  1.  Following up from our recent fall commission meeting, where we initiated discussions about our workplan for the upcoming year, three clear priorities emerged. It's time to delve deeper into these areas, and we value your input and commitment in helping us shape the future of our system. Below includes an overview of each of the three committee areas. We ask for you to select ONE area for your WSSSC committee work this year: WSSSC Work Plan Committee Signup<https://www.surveymonkey.com/r/CQ3KLB6>. Once the poll results are in, we will share the outcomes and next steps. I promise, all work groups will be so much fun!
  2.  If you have not already done so, to please complete the Bylaws revision poll<https://www.surveymonkey.com/r/MD8LL6D>. We currently only have 17 votes. We need a few more votes to reach the minimum quorum threshold. Despite recent accusations, Robert’s rules really aren’t mine. I hate them as much as you all but we still need more votes! 😊
  3.  Please identify which current Student Success Tool & CRM<https://docs.google.com/spreadsheets/d/1NIEfix5s-NUWHj5zh4hjd4RrsIAO9DRzBVpFU9OIDso/edit#gid=1618452283> your institution currently uses. This will be critical for the upcoming Student Success Tool Taskforce. This effort seems to be moving quickly and getting all of our cats in the wheelbarrow (knowing who does what) will be the a great first step. Lauren is in charge of keeping them in the wheelbarrow though!

WSSSC 2023-24 Workplan Identified Priorities

Student Success Tool RFP

We consider this a top priority and we invite active participation in shaping the future of this critical initiative. We aim to establish guiding principles for decision-making that align with our collective vision. Like any change management process, we hope to carry the lessons and principles learned from ctcLink which include:

  1.  Understanding the need for change and acknowledging the existing pain points and limitations is crucial to kickstart this transformation.
  2.  Once the need for change is established, the next step involves defining clear objectives, outcomes, and business processes.
  3.  Selecting the right system is a critical decision. It involves thorough research, consultation, and sometimes trial and error. The chosen system should align with the defined objectives, be user-friendly, and have the capacity to adapt to evolving needs.
  4.  System adoption is not just about technology; it's about people. Creating a supportive environment and open communication is essential.
  5.  Expecting some level of disruption and being prepared to address it is key. Testing and adjusting will need to be normalized.
  6.  Patience is perhaps most crucial during the post-adoption phase. Reinforcing a long-term focus will be critical for all stakeholders.
  7.  Continuous Improvement





2. Financial Aid

FAC Identified priorities include:

  1.  Dedicated and protected time aka support planned Office Closures
     *   Policy and procedures update
     *   Training of staff
     *   Anticipated increase in processing time associated with federal and state policy changes
  2.  Professional Development
     *   Support FAFSA simplification related training opportunities
     *   Support onboarding and training of new staff
  3.  Advocating for CTClink system updates:
     *   The SBCTC are proactively updating the system. However, it is unknown if other updates will be required.
  4.  Financial Aid staff compensation

For Consideration: August 2024 WSSSC Commission and Council Leadership Gathering , which may include:

  *   Onboarding new commission and council leaders
  *   Workshop on leadership and facilitation 101 for council executive teams
  *   Review of WSSSC liaison role and council leadership role
  *   WACTC & SBCTC Organization Structure Overview
  *   Defining governance, workplan, cross-sharing practices
  *   Emphasizing and support Co-curricular programing
  *   Share commission and council priorities and workplans
  *   Overview of council funds
