[Wactclc-alma] Analytics for weeding physical items

Hi Wade,

The type of report you suggested is what I did... Just add title, item barcode, publication date, last loan date, date created, without any filters. Once I saw what the data looked like, I started to add filters to the report. This is how I normally run reports anyway.

Kristi, I did use the physical items subject area on the analytic report. I think that most of our items have been coded correctly. When I first started, I became aware that some of our VHS tapes had the material type "Other". I was able to fix a lot of them, but some of them remain unchanged, as I couldn't get them to display in a query, or if I searched the barcode/title the item could not be located, yet they showed up in my analytic report.

I need to take some time to look over the reports I created last week to see if I can figure out why I got no results, and why the columns won't sort. I have been out of the office since Thursday, so I need to refresh my memory as to what's going on with these reports.

Colleen

I’d suggest starting with a simpler report.

Just add title, item barcode, publication date, last loan date, date created, without any filters, and just see what your date looks like.

Once you see what your data looks like, you can decide how best to filter to achieve your goal.

Be aware, you may also have a lot of items with last loan dates of NULL (things that have never been checked out).

To list those, you may need to set a filter of last loan date is NULL.

Thanks Wade,

I took off the criteria for Creation Date, and included Publication Date instead. I am still getting a lot fewer results than anticipated.

If I run my revised report, where I added Publication Date, there are only 13 items on the report. If I run the canned report as is (creation date; last loaned), we have over 11,000 items that haven't circulated since 2015. So, I am clearly missing something.

Creation date is the date the item was created in Alma, or possibly in another system, if the items were migrated into Alma.

So, it’s not likely that you’ll see creation dates from the 50’s.

You’re probably wanting to filter by publication date? If so, you’ll want to look at the attributes on the title, rather than the item.

I used the canned analytic report for determining physical weeds, and edited some of the filters. I know that I should be getting more results back, so I am wondering what I could be doing wrong. Below is a screen shot of the filters.

I know that we still have material in our collection that was created in the 1950s. So, I am trying to capture those items, plus show any items that have not been loaned since 2015. I put my report in the shared reports folder under CPTC. Could someone please tell me what I am missing or doing wrong?

Thanks,
Colleen
