[WSSSC] STAC Update

I did not have a STAC update at our Spring Meeting, but we met last week and wanted to share the notes from the meeting with you.

Meeting Agenda

Meeting Objective:

Discuss strategic goals and strategies.  Focus on formalizing Communications, Process and Strategic Planning documentation and governance.

EdTech
*        No report

CATO (Monica Olsson)
*        Growing number of colleges that have concerns about lack of Federal Support for Accessibility work
*        Request for us to be advocates for accessibility within technology
*        Sharing out the letter developed by CATO
*        Working to revise their charter and needs to have it reviewed by STAC
*        Also working to put together a work plan for next year

Student Success Software RFP (Grant report out)
*        April 28th vendor chosen and notified
*        ConexEd chosen
*        Giving the debriefs to the unsuccessful vendors - they have 5 business days to file a protest
*        Accessibility issues being brought to ConexEd
*        Next steps
o   Put a rollout schedule together
o   Have to pin down the costs
o   Review the accessibility findings (review by DQ) and how they will address those issues
*        Keyboard and desktop worked fairly well
*        Bigger issues around accessibility on mobile app
o   Need clarity on capacity and how many colleges can they work with at a time
o   How to move forward with the two-way integration with PeopleSoft
o   Alignment of data for the two-way integration
o   This will be a master contract.  All colleges will still have the opportunity to choose any vendor.
o   Still need more information on all the pieces of ConexEd will have in this package
o   Concerns brought up by the group about the lack of adoption will cause issues with common data and informing our GP processes

College Collaboration Group
*        Last meeting focused on travel and expense (PAW) work
*        SFRA - 7 colleges going live for summer/fall

Process Alignment Workgroup (PAW) (Chair: Jason Hetterle)
*        Trying to focus what can be done at the local level
*        Reporting out on the travel and expense work
*        Colleges will be asked to review the findings and recommendations
*        Provide feedback through testing
*        Then SBCTC implements global configuration changes
*        Next steps for PAW
o   Survey out to colleges about what to take on next

AI Taskforce (Chair: Eva Smith)
*        They have met a couple times
*        Trying to determine where we can leverage AI
*        Planning to present to the presidents this summer
*        Integrate into the STAC workplan
*        Groups are sharing the work being done across the state
*        Taskforce is collecting activities and connecting groups
*        Focus on policy and practice
*        Discussion with Monica Olsson about AI and uses for Access Services

'25-'26 Work Plan
*        Potential areas for work plan
o   AI and building structure what the statewide efforts would look like
o   Cybersecurity needs to be reviewed as well
o   Digital Equity
o   Develop guidance for accessibility when making software purchases
*        Need to build out before our next meeting so we can approve June 5th and to presidents
