Hello everyone,

This is a final reminder regarding the upcoming IPEDS review meeting this Friday. In short, we'll be having a conversation about how we each interpret and confidently or unconfidently submit IPEDS data each year. We will also review the Alma dashboard that Wade has been diligently working on in recent months (please preview it if you're able to; screenshot attached shows where to find it in Alma).

If you have any questions or see anything that's not in the meeting description below, please send to me directly. I will be creating an actual agenda over the next day and will update this meeting invite with it.

Alma IPEDS Dashboard and Aggregated Data
If your school uses Alma, please consider exploring/reviewing the IPEDS WACTCLC dashboard as discoverable in the image attached. Also, Wade has created a collection of aggregate data from the CTCs and it's available via a link on this page<https://sites.google.com/view/wactclc/home?authuser=0>.

What is IPEDS?
Don't know what IPEDS is? Review here<https://nces.ed.gov/ipeds/use-the-data>. Click "Look Up an Institution," use final release data, enter your institution name, and go into the Academic Libraries section to explore the summaries provided. Note: for the exact information submitted, you will want to click from Institution Profile to Reported Data and look at the Academic Libraries section there (these two "tabs" are very different!).

Sections of IPEDS
We will explore during our agenda the following sections (i.e. ALL sections) of IPEDS and I invite people to bring their questions and their strategies for submitting this data-feel free to send to me in advance if you'd like it incorporated into/referenced at the meeting by me, especially if you've had to change your approach since getting Alma or another new ILS. (Note: the following are all based on actual data you need to submit for each IPEDS!)

Section 0

1.     Were annual total library expenses for fiscal year XXXX less than $100k or more than or equal to $100k?

2.     Is the library collection entirely electronic?

Section 1: Collections

1.     Library Collections - Physical: Books, Media, Serials

2.     Library Collections - Digital/Electronic: Books, Databases, Media, Serials

3.     Library Circulation - Physical

4.     Library Circulation - Electronic

5.     Does your institution use ILL?

a.     Total interlibrary loans and documents provided to other libraries

b.     Total interlibrary loans and documents received

6.     Comment box: How do you provide context for all the data above? What explanations do you provide?

Section 2: Expenses

7.     Indicate branch and independent libraries

8.     Salaries and wages for the library staff

9.     Fringe benefits paid out of the library budget

10.Materials/services expenses: one-time purchases of books, serial backfiles, and other materials

11.Materials/services expenses: ongoing commitments to subscriptions

12.Materials/services expenses: all other materials/service cost

13.Operations and maintenance expenses: preservation services

14.Operations and maintenance expenses: all other operations and maintenance expenses

Additional Talking Points

*        Are we interested in a "how to" document to describe best practices for IPEDS submission in the age of Alma?

o   This document could include basic and shared definitions and sample context statements for the fields above.

o   This document could help align some of the data we're submitting and also be useful for other college library consortia.

*        Are we interested in a tool for sharing/communicating about IPEDS and other data collection initiatives with WACTCLC?

*        Has talking about IPEDS and the data of our library collections/expenses raised any larger questions?
