Deans,
I owe you all an apology for not getting an update to you before now. The good news is since every campus is currently in process, there was plenty of communication going on about the project. Below and attached is a recap of the main discussions from the ALMA Governance meetings in the fall.
Lastly, welcome Andrew back! Andrew retake the helm as business sponsor for the governance group.

CTC ALMA PRIMO PROJECT GOVERNANCE COMMITTEE

Summary Document for November 1 and 29th, 2016
Personnel (Tim Fuhrman)
            Wade Guidry was renewed as the Library Consortium Services Manager with additional scaffolding supports from Guy Hollingbury and Tim Fuhrman.
            The second Alma support position, Transition Support Consultant, was also agreed upon as a way to provide project relief for the lead Consortium Services Manager position.
The Transition Support Consultant was subsequently filled by Sherry Whittaker who is on track helping cohorts 2 & 3 libraries assigned clean-up tasks in pre-implementation.
Project Status (Guy Hollingbury)

1.     On Nov. 1: The overall status for the WACTC LC ALMA PRIMO project remains on schedule with 58% of all tasks and deliverables completed.

a.     Project Status (all colleges)

                                               i.     Start Date:       Jun 22 2015

                                              ii.     End Date:         Aug 29 2017

2.     On Nov 29th: The overall status for the WACTC LC ALMA PRIMO project remains on schedule with 74% of all tasks and deliverables completed.

a.     Project Status (all colleges)

                                               i.     Start Date:       Jun 22 2015

                                              ii.     End Date:         Aug 11 2017

b.     Cohort 1 (C1) post project cleanup activities continued with support of the Ex Libris (ExL) production support team and the formation of a Consortium Support Group lead by the WACTC LC Consortium Manager.

c.     Cohort 2 (C2) was on schedule for their implementation process.

d.     Cohort 3 (C3)  was on schedule and completed their Phase 1 tasks (Pre-implementation Data Cleanup & Preparation).



3.     Ongoing C3 Training:

a.     ExL provided a data clean-up session for the C3 Team Leads on November 10, 2016.

b.     ExL provided an overview/demo of the new ALMA interface and application on November 17, 2016.


4.     The C3 implementation kick-off session will be scheduled sometime between January 26, 2017 and the week of February 3, 2017. The sandboxes will be available for C3 at the start of implementation.

Project Budget (Tim Fuhrman)

1.     Project remains on budget for the ALMA PRIMO implementation costs.

2.     Annual PRIMO subscription costs have been increased by ExL.  Tim and Guy have been working with Primo to get clarification on this issue. The consortium will need to decide on an equitable division for PRIMO subscription costs in the new funding model for the upcoming 2017/18 AY. Tim will determine costs for each college and provide a proposal before the next AY.
