[ctcLinkfinaidsupport] Getting the ball rolling with Item Type Security

Brandon et al,

At Green River, we have been putting some thought to the proposed change with Item Type Security, and we have a few more questions about the implementation.

  * Which tree nodes will be assigned to each role? For the Financial Aid roles, we know this is the Financial Aid node, but how will other nodes align to the other affected roles? Yes, this will be different for each college. Can we receive college specific node to role assignments prior to testing for evaluation?
  * If a user does not have a tree node or an individual item type assigned, will this affect lookup results when using queries that prompt on Item Types? In other words, does the change only affect the user experience at the page level? While we may want to prevent someone from using a specific Item Type, we do not want to limit their ability to research all Item Types when using queries.
  * Our understanding is that State Board will mass assign Item Type security based on current security role assignment. Can we get a list of users and their proposed tree node assignments in advance? Alternatively, is it possible for colleges to manage their own Item Type Security and initial tree node assignment?
  * Is it possible for someone with ZD Local Security Admin in the CS Pillar to manage Item Type Security and still maintain view only access to the rest of CS Security? The reasoning for this question is that we have a separation of duties when it comes to security between Finance and CS pillars and the Business Analysts. The CS Business Analyst handles SACR security settings - however, management of Student Financials, Item Types, and soon Item Type Security is one of the duties of the Finance BA. Can we establish a role that would allow someone with ZD Local Security Admin in the CS pillar to manage only the Finance related SACR items, such as the proposed item type security? How can we ensure that this change does not make the work of managing the CS Pillar more lopsided than it already is?
  * I don’t believe a specific timeline for this change has been shared yet, though I may have missed it. What is the timeline for implementation? Can we make sure to avoid implementing this change during the first two weeks of the academic term? We want to avoid any forced errors during the Financial Aid disbursement and refund period.

Thank you for considering our questions and concerns regarding this change. I’m curious to hear what the other colleges have been discussing regarding this change.

Thanks,
Wright

Hi Dave and all –

Item types are indeed razor sharp and prickley…which is exactly why are looking to shield folks from their danger!

I’m glad you asked about testing, we can say that when testing commences, the ctcLink pages to take into consideration are the ones listed below - staff that normally navigate to these pages will do so and select the magnifying glass on the item type field (if item types may be selected, then they have access):

  * Navigator > Financial Aid > Awards > Award Processing > Assign Awards to a Student

  * Navigator > Student Financials > Charges and Payments > Post Student Transaction
  * Navigator > Student Financials > Charges and Payments > Group Processing > Create Group Data Entries
  * Navigator > Student Financials > Payment Plans > Third Party Contract > Create
  * Navigator > Student Financials > Payment Plans > Payment Plan > Create
  * Navigator > Set Up SACR > Product Related > Student Financials > Course and Class Fees > Class Fees
  * Navigator > Set Up SACR > Product Related > Student Financials > Course and Class Fees > Course Fees
  * Navigator > Set Up SACR > Product Related > Student Financials > Tuition and Fees > Term Fees
  * Navigator > Set Up SACR > Product Related > Student Financials > Course and Class Fees > Course List Fees

  * Navigator > Curriculum Management > Schedule of Classes > Maintain Schedule of Classes
  * Navigator > Curriculum Management > Course Catalog > Course Catalog

We invite you to process through each of the above pages…remember, we are only testing for access to the item types!

Only one page in financial aid that will need to be tested. For the Student Financials and Curriculum Management related pages, the item type security we titled as “standard” on the slide deck will be appropriate.

Rest assured - we will build out even more documentation and send it out next week…we look forward to our next warm and fuzzy item type security gathering!

Subject: RE: Getting the ball rolling with Item Type Security

Hello Brandon, Charles, and team,
Will SB provide something like a UAT guideline, or checklist for testing this in PCD?
I think more people will have ‘warm fuzzies’ with a more structured guide of ‘what item types should be tested’ instead of ‘cold pricklies’ because folks don’t know exactly what to test 😊

Cheers,
Dave

Item Type Security is Enhancement Request #159<https://nam12.safelinks.protection.outlook.com/?url=https%3A%2F%2Fctclinkreferencecenter.ctclink.us%2Fm%2F112604%2Fl%2F1589391-enhancement-request-status&data=05%7C01%7CWHarrison%40greenriver.edu%7Cd99603c1338047fa7e6608db114c7912%7Cfa40663e972749789bce776cf824bca5%7C0%7C0%7C638122792383687430%7CUnknown%7CTWFpbGZsb3d8eyJWIjoiMC4wLjAwMDAiLCJQIjoiV2luMzIiLCJBTiI6Ik1haWwiLCJXVCI6Mn0%3D%7C3000%7C%7C%7C&sdata=0ltuNu%2BMUsdbw7rhqd0uIxRDTvrdhUF1YpkEimMtQwI%3D&reserved=0> for the Campus Solutions Pillar. This enhancement will impact any staff member who has page access that accepts item type as an input value…which we know is a significant number. Please forward, discuss, and prepare for this upcoming enhancement.

We have an hour reserved next week to answer questions that may arise from the video, the slide deck, and your internal discussions on the matter. Please find the link to the Item Type Security questions session<https://nam12.safelinks.protection.outlook.com/?url=https%3A%2F%2Fwww.sbctc.edu%2Fcalendar%3FtrumbaEmbed%3Dfilterview%253DSFTraining&data=05%7C01%7CWHarrison%40greenriver.edu%7Cd99603c1338047fa7e6608db114c7912%7Cfa40663e972749789bce776cf824bca5%7C0%7C0%7C638122792383687430%7CUnknown%7CTWFpbGZsb3d8eyJWIjoiMC4wLjAwMDAiLCJQIjoiV2luMzIiLCJBTiI6Ik1haWwiLCJXVCI6Mn0%3D%7C3000%7C%7C%7C&sdata=yd9Y0zOpa1sqxCkvrpJGlEUjo6YJs0f2uzC0ZFcZxDc%3D&reserved=0> that will take place 2/16 @ 2pm.

Within the attached slide deck is our estimate (slide 26) for the time we’re hoping this enhancement to take for implementation…please note, that a start date is nowhere to be found, however, depending on what the majority says - we are hoping for middle of March for a PRD deployment (& maybe even a date with Working Group for a vote on 3/1 or 3/15.)

We look forward to answering all your questions next week!
