It would be good to shift the 125% to a warning to alert the student they are approaching their max time frame which will then give them time to appeal and still receive aid on time, if approved.

Hello FA Leaders,

We’ve recently been in touch with many of you and WSAC regarding a global solution to handle the recent elimination of the 125% max time rule for State Aid recipients.

Please find attached a summary of the solution and a high level overview of the business process. Please note, this by no means is a replacement for processing steps in the form of a guide. The attached solution is being drafted into a QRG and also being added to our published SAP BUSINESS PROCESS GUIDE.



WSAC has asked colleges to explicitly state how State Aid recipients’ SAP calculation will impact awarding of state aid. We recommend that you revise and add a note or section stating that State Aid Recipients state grants will not be subject to the federal maximum time frame limit.


Summary: Starting from the 2020-2021 aid year, WSAC has eliminated the 125% max timeframe for state aid. SAP only needs to be set up to capture Title IV’s 150% max timeframe requirement.



Issue: Students who have met or exceeded the 150% max timeframe for Title IV aid will get the status of MAXT for SAP. The status will not prevent state aid from packaging but will prevent state aid from authorizing and disbursing.



Resolution:

  *   A new query will be migrated into production to capture the WCG/CBS students that need their MAXT SAP status temporarily overridden at the time of authorizing aid
  *   There will be a new process to add a State Aid LEU checklist on students who have less than three quarters remaining of WCG eligibility

  *   A new query will be migrated into production to capture students who have not been packaged state aid and are MAXT SAP status so colleges can review for packaging
