Hi everyone,

We gave our update on captioning to ELC this morning, so I wanted to share the info with you as well. (I'm also going to forward it to your IT Accessibility Coordinators, so that they are in the loop.)

To start, here's a rough 11 minute video demo of the Caption Hub<https://youtu.be/wIYwMbIC134> so that you get a sense of what we've been working on (I know, I know, captions are on their way!).

Please note, the captioning hub is still undergoing some testing and revision - but, once it is launch it will give you all the following abilities:
*       Faculty can submit requests
*       College admin can moderate (accept/deny) requests
*       Videos can be routed to the college's 3Play account, the SBCTC 3Play account (if it qualifies for discounted pricing), or transcribed locally
*       Users can access the completed caption files/embed code from the hub

To prepare for the launch of the hub there are a few things we're asking folks to do:
1.      Set up your 3Play account (this should be taken care of by your eLearning coordinator if it hasn't happened already).
a.      You don't need to use this account, but go ahead and get it set up in case someone does want to use it in the future - you'll be able to assign videos to different billing accounts if you have this set up.
2.      Working with your eLearning team, determine who will have access to the captioning hub. You can grant access at different levels, so it's up to you all to determine how many folks you want to give access to.
a.      Upon the initial launch, you may not want all faculty submitting requests - figure out how to prioritize who will have access. A few possibilities:
i.      Enable the hub in only one Canvas course where approved faculty are enrolled and can submit requests.
ii.     Enable hub in a subaccount, allowing particular departments access (perhaps they have  budget set aside to caption their videos).
iii.    Set up an "accommodation request" course where only faculty who need to caption videos for accommodation requests can submit videos.
iv.     Enable it in all classes and see what happens!
b.      This is also where you need to think about how you're going to determine which requests are approved or denied. And that, my friends, is greatly tied to your budget. A few things...
i.      Discounted pricing scheme<https://docs.google.com/document/d/1fAvr4pbuky8bKHqxG6GTaKXQytjCV5e0D-x_chqJFVk/edit?usp=sharing> (draft) - for instructional videos, the more criteria a video meets, from the list below, the cheaper the price (and if it meets all criteria, captions will be paid for if you do a 10 day turnaround). The criteria:
1.      15mins or less

3.      Reused over multiple terms/courses
4.      Openly licensed
ii.     If you have no budget for captions, encourage all instructional videos to meet the criteria above and you can still use the captioning hub! Yay!
c.      The caption hub will allow two levels of administrators. We are working with the eLearning coordinators to be the college admins, but we have developed a sub-administrator account for DSS staff to approve and deny only those requests that are marked as being for an accommodation request. Therefore, it's important that these two offices work together as you move forward on captioning. :)
