[Wactclc-alma] FW: [ALMA-L] Re: [Alma-Analytics] the difference between Fulfillment and Physical Items

In case you missed it on Alma-L, I thought I’d forward this interesting tidbit (highlighted in yellow below) regarding how Not In-House Loans (actual loans) are calculated, depending on the subject area you’re pulling the parameter from in Analytics! If you’re tying it to a more recent date range for the stats (like IPEDS) it won’t matter so much, but if you’re running historic or comprehensive circulation stats it might matter…

Jihyun,

Something else to consider is that Physical Items: Loan (Not In House) may include counts that migrated from a previous library system whereas Fulfillment: Loan (Not In House) is a count of transactions that have occurred after your Alma go-live date.

Best regards,
Frederick

Hello Jihyun,

The Fulfillment subject area includes each individual loan transaction, including the date and time (Loan Date). This is useful for when you want statistics on the number of loans within a certain time period.

The Physical Items subject area only includes the total loans over the entire life of the item, and the last loan date, but does not include details on the individual transactions. This is useful for when you want the total circulation, possibly to assist in weeding decisions.

If I do a report based on the Fulfillment subject area, but do not include any Loan Date filtering, then my loan numbers exactly match a similar report from the Physical Items subject area.

Are you getting different totals when not including a date filter?

Hi all,

In Alma Analytics, "Loan"."Loans (Not In House)" in the fulfillment category and "Loan"."Loans (Not In House)" in physical items are different.

What figures are correct in this case? And why is this happening?

In one example, there is a three-fold difference in physical items compared to the number of fillment loans (not in houses).

Best,

Jihyun
