We would like to provide an additional update regarding ' Gale Academic OneFile' incident.

The ' Gale Academic OneFile' collection was mistakenly removed  from the Alma Community Zone, and has since been restored there. We performed a thorough analysis of the effect of this deletion, covering elements such as Alma Full Text activation, Number of portfolios , CDI search activation and more. As a result of this analysis we concluded that the best and most accurate results will be gained by the following plan:

  1.  Institutions that had the collection only for CDI search (Active for search in CDI) -  the setup was already restored. No additional steps are needed.
  2. I agree. We have 60 institutions in our consortium, and I don't know exactly how each of them had Academic OneFile activated (for search only? fully active? not active at all?). I was happy to see that Ex Libris could push out a fix that would restore it the way that it had been, and I've been asking the campuses to wait and let it be programmatically reset for us. Should we continue to wait?

I echo Wade's request.

Besides wondering about what happened to cause this, I'm concerned that some institutions were not told to reactivate the collection, some were told the problem has been fixed and to re-activate the collection, and another institution was told that the problem has not yet been fixed.



I was told in case 00971806 the fix has been applied to the CZ and to re-activate the collection. I've just re-activated it, and the job completed successfully but 600 portfolios were skipped. Of the 9727 portfolios listed in the CZ, 9129 are activated in our IZ. So for us the problem remains.

I realize that Alma-L is not an official support forum, but because of the broad impact of the recent inadvertent deletion of Gale Academic OneFile from the CZ, could someone from Ex Libris provide an official update to the list on this issue?



And please include guidance for institutions where Gale Academic OneFile was already active.



My understanding is that institutions with existing activations would not need to do anything when the collection came back online to recover previous functionality.



But looking at the institutions I serve, I do not see the affected IZ collections repopulated with portfolios, even though I now see a Gale Academic Onefile collection in the CZ with approximately 9,700 portfolios.

We are still processing the fix on our side, as mentioned it will take a few days to complete (this is a complicated fix).



I apologize if this is causing interim issues, but please let me know you continue to experience this issue in a few days' time. I know this is inconvenient, but we are doing our best to "resurrect" the activations and this takes some time to process and distribute to the institutions.

Our record which was active for search has not resurrected from CZ into IZ, and when I try to activate it from the CZ, I get an error popup of: "Activation for search in CDI failed".



It was fine on Thursday 10.6.2021 in my daily Analytics, and then on Friday 11.6.2021 it had been modified by System to remove the CDI aspects, as confirmed by checks on the CZ task list.

Then it was deleted on 14.6.2021, also recorded by System in Analytics, but I suspect this is a bug I've reported where modifications by staff are reported in Analytics as by System, when cleaning up as per the CZ task list.

Regardless Alma is not letting me reactivate for search for whatever reason.

Our goal in this fix was to reinstate as much as possible the previous status of the collection and its portfolios.



Regarding your questions:

  *   What will happen for libraries who had only activated Gale Academic OneFile for search in CDI? Will we need to re-activate the collection for search, or will something automatically re-populate?

     *   Based on our testing this will repopulate automatically.

  *   [For institutions with "auto active"] When those institutions have the collection reactivated, will you also be removing the local collection that was created during the initial deactivation process... Or will we need to clean all of those local collections with no portfolios up?

     *   Based on the setup we've created the localized collection should be re-linked to the CZ, so there is no cleanup necessary.

  *   [Question received offline, but might be relevant for others] We had "auto active" functionality selected with CZ portfolios linked to our local bib records.  Will the link to local bib records be reinstated or will we have to relink this manually?

     *   Based on the setup we've created the Bib should relink to the local Bib that was previously connected.

As we mentioned previously, this event was an unprecedented case where the collection was removed directly from the Alma CZ, due to human error.

First and foremost we have been working on how to fix the issue and its impact on the community. For more details, see below.

In parallel I must assure you that we are performing an internal audit to understand how this could have happened and to prevent it from being possible again.



We deeply apologize for the inconvenience and disruption this has caused, and hope that our solution to resurrect all activations will assist in restoring functionality.



We are working on releasing this fix TODAY and it will take affect over the coming days for the various institutions.



The fix:

We have "resurrected" the deleted collection and its portfolios, including their original CZ identifiers.

Our work over the past weeks has been to ensure that we can both resurrect the content AND reinstate your activations on your behalf.

  *   Institutions that had the "auto active" functionality selected:

     *   What happened: the collection was localized and the portfolios had been deleted entirely.
     *   Our fix: we will run a process on your behalf to revive the deleted portfolios, while maintaining the previous IDs, including their link to the CZ.
Note that this will activate ALL of the titles in this collection for these institutions (expected functionality for "auto active").

  *   Institutions without the "auto active" functionality selected:

     *   What happened: the collection and portfolios have been localized to the IZ.
     *   Our fix: we will run a process on your behalf to reinstate the link to the CZ for the localized collection and portfolios AND to reactivate them, to ensure that you continue to receive updates from the CZ.
Note that the local portfolio IDs will remain.



Again, we hope that this solution will restore functionality for this collection and apologize for the inconvenience.

Ok, it looks like I'm totally wrong! (Thanks coworkers.)



We just got an ILL request and everything in Gale Academic OneFile Select is inaccessible. We've double-checked our parser parameters for the service and they're the same as they are for our other Gale collections, which work just fine.



So much for my theory that Ex Libris merely replaced A with B and C. Looks like it might be an entirely separate package from Gale.



If it's not, any advice on what I'm overlooking in the settings would also be appreciated. :)

I almost posted about this last week because we were also surprised. And no, there's nothing tipping you off in either the CKB or the CDI release notes, so thank goodness for the CZ Task List review I do every Wednesday.



>From our analysis, it looks like Ex Libris created two collections to replace the one. (Why we had 45 titles that weren't deleted is another mystery.) So, we've decided to activate Gale Academic OneFile Select and leave the A&I collection alone.



Some librarians expressed concerns about potential content loss, but Gale often gave us false positives in the filtered search. So, it made sense to me that Ex Libris made this change though it would've been nice to see it coming a day ahead in the CKB release notes instead of shocking me awake Wednesday morning.

I have no insights into why this happened, but we noticed this change and didn't see it in the release notes either. We don't subscribe to Academic OneFile; we had just activated it for search so its CDI indexing appears in "Expand my results"). In order to still get some Academic One File results in our expanded search, I activated Gale Academic OneFile Select for search only. This isn't a real solution, though, as this collection won't be sufficient for libraries that actually subscribe to Academic OneFile, because Academic OneFile Select seems to be a smaller subset of the Academic OneFile collection.



So, no great insights here, but I hope at least it's somewhat reassuring to know another library is seeing the same thing!

Subject: [ALMA-L] Gale Academic OneFile



Hi,



We were surprised to see the Gale Academic OneFile collection deleted from the CZ over the weekend. I couldn't find any mention of this in the CKB Release Notes or any alternative collections in the CZ.



Just curious if anyone had any insight into this change? I've opened a case but no response yet.
