[Wactclc-alma] Analytics reports on Reserves expenditures

It looks like what we need to do may be possible to do by adding instructors as interested users on POs. We are already using reporting codes, and the feedback I'm getting from librarians locally is that they don't see a use for course-level specificity- division level as indicated by primary reporting code is good enough.

Personally, I would like to enter data in such a way that we can get that information if we do want it later, but we aren't currently adding streaming films to reading lists, and this is most of what we want to track. I've added some to lists to test whether it boosted those records in search results- it did not appear to- but it would be a project to add the others. Of course, it would also be a project to add them as interested users. It would be pretty easy to copy the notes to a different notes field, but they wouldn't be normalized, so sorting on that field would be ... suboptimal.

I don't know how helpful I would be in figuring out how to best track Reserves in Analytics, but I'm always up for looking at an interesting problem:)

A different approach…



Can you create an analysis in course reserves that lists course / instructutor / MMSID / title of the streaming titles you’re interested in reporting on?



If so, we might be able to combine that analysis with one from acquisitions to capture price for those titles.



If you can save that analysis in your environment, post back its name/location, and I’ll take a look.

Do you have room in your acquisitions reporting codes for course, instructor, or course/instructor, maybe at the tertiary level?



It would sort of depend on whether those streaming titles are part of a package, or if you are ordering them individually, so that you could use a course/instructor reporting code.

We haven’t done anything like this yet but we may need to in the not terribly distant future.  I’ve got 2 suggestions that you can take or leave as you see fit:



  1.  This might be a good topic for a deep-dive Thursday call
  2.  Our Reserves folks are doing regular calls together on Fridays to work on things like how to make good use of Analytics reporting for Reserves.  Would you be interested in joining a call or two with us? If we need to figure this out and you need to figure this out, putting our brains together might help us all.

Hi All,



I'm trying to decide where to store instructor and course info for our streaming films so it can be queried in analytics to see things like expenditures per course or instructor.

We can query at the department level with ledgers and reporting codes, but I'd like to get more granular if I can, and I haven't successfully built any reports linking Funds Expenditure and Course Reserves subject areas.

Some of the portfolio notes are accessible via analytics, and Funds Expenditure and E-Inventory subject areas are relatively easy to combine, but the notes are free text fields, so that's less than ideal.



Has anyone successfully built any reports they are willing to share that analyze expenditure on reserves?
