[Wactclc-alma] Overlap P and P

Colleen,

Here's a short list of titles I found in CPTC that have both DVD and VHS.

I got to this list by using this simple item report I created:

/shared/Community/Reports/Consortia/WACTCLC/Weeding/Simple Item report for use with Excel Pivot Tables

Then exporting the data to Excel and creating a pivot table<https://support.microsoft.com/en-us/office/create-a-pivottable-to-analyze-worksheet-data-a9a84538-bfe9-40a9-a8e9-f99134456576>.

You can find pivot tables in Excel under the 'Insert' menu. A pivot table just lets you summarize a table of data.

It's a generally useful tool, and one maybe I can demo on Tuesday.

The analytics report above looks just at 'DVD' and 'Video Cassette' material type items in the AudioVisual location. But you could adjust the criteria to include another locations or material types.

Also, since the different material types look to be on separate title records, this technique won't catch duplicates if the titles used in the two records are not exactly the same.

I'm not familiar with the canned reports you are looking at. But overlap reports are typically targeted at finding bibliographic record duplicates. That is, 2 or more title records in a catalog with the same bibliographic (not item-level) data.

Trying to find duplicates at the item level is trickier, since items are basically duplicate records "by design". Item records associated with the same title (or at least, the same holding) are usually expected to be duplicates.

Can you give an example of two items that you are trying to identify as duplicates with different material types?

With that info, I could take a closer look.

It might end up being simpler to use holding information. But I'd need to see the records to recommend the best approach.

I am unfamiliar with doing pivot tables. I will have to look into this more next week. It seems like this information should be possible in the existing canned overlap reports.

I have been trying to run an overlap analytic report to see what titles we have on VHS that we also might have on DVD. The Alma Overlap report uses Titles, and unfortunately the only material type available in this overlap report is Bibliographic material type. This means when I go to filter the list, I am unable to select video cassette and DVD. I am only able to select Visual Material. Does anyone know how to work around this?

At some point, I would actually like to include Electronic inventory, but for now, I just wanted to get an idea of what we might have on VHS can that safely be withdrawn from our collection.
