Wow. Thanks, Lesley and Kirsti. It never fails to amaze me that something so theoretically simple can be made so convoluted.

Thanks for sharing this info Lesley! It's always good to know that it's not us; it's Alma. :)

I found an Indication Rule in the Community folder (MD Editor -- Rules -- Indication Rules -- Community) that Paula could probably adapt pretty easily. It's called "044 exists." Duplicate the existing Indication Rule and replace "044 with "856"

rule "044 exists"
when
exists "044"
then
set indication."true"
end

I had to muck around with Norm rules and Indication rules recently and have been relying heavily on Yoel's examples here:

Hey Paula,

Pierce College had the same question last year!

Here's what a colleaugue at SPU sent us:

"A quick question to clarify - you're updating the bib records rather than the portfolios?

If you just need to update the portfolios I think you can make a set from the advanced search.

If you do need to make a set of the bib records you have to use a two set process - make one set and then filter to get 856s using an indication rule.

The documentation says:
https://knowledge.exlibrisgroup.com/Alma/Product_Documentation/Alma_Online_Help_(English)/Administration/070Managing_Jobs/Managing_Search_Queries_and_Sets#Filtering_Sets
You can filter existing sets to create new sets. This feature is helpful when you need a set that is based on metadata elements that are not indexed. You can refine any set to include just the records that match the bibliographic record content regardless of whether the attributes are indexed or not.
This feature is implemented using indication rules. Similar to normalization rules, indication rules use the flexible Drools logic to filter existing sets, both public and private sets. With the Drools logic, you can filter a set to create a new set based on different characteristics, as shown in the following examples that may include non-indexed fields:

It looks like you could set up a similar rule to this one to get bib records with 856s -
Indication Rules Syntax Examples
The following are additional examples of indication rules syntax:
Example 1
Identify records in a set containing $a in the 949 field.
rule "Contains 949 with subfield a"
when
exists "949.a.*"
then
set indication."true"
end

As far as I know there's currently not an easy way to get sets in either Alma or Analytics by specific MARC fields. But I keep hoping Ex Libris will index more fields for us!"

It worked for our purposes, but would love to know if others know a better way!

Thanks!
Lesley

Hello all,

I thought I would create a simple report so I could do a visual check on the text of my 856 fields in a local electronic collection.
I can't find the description field to add to the analysis that will show me a url in the 856 field.
I have been looking in the E-Inventory Subject Area. I also looked at the Titles Subject Area.

It would make sense to me if it was in the bibliographic details, since it is a field from the bib record. Can't find it there.

I tried an advanced search in ALMA because sometimes that can be a work-around. Nope.

I tried searching the community folders for "856" or "URL" but kept crashing out.
It seems unfathomable to me that the 856 is not included in analytics.
Any ideas?
