[Wactclc-alma] Quick cataloging vs. MDeditor

I mentioned this in the call on 11/21, but I wanted to also mention it on the list...

Both North Seattle and Seattle Central have equipment that circulates to students. In addition, there's a non-library department at South Seattle that loans textbooks to students for the academic term.

In the case of the non-library textbooks, what I did in our old ILS was to have staff/students from the non-library department enter bib data in a shared spreadsheet I set up. The spreadsheet included a column for Title, Author, ISBN, Edition, and multiple columns for Item Barcodes.

I was able to import data from the spreadsheet into MARCEdit (which is freeware) to create MARC bib records, which I then imported directly into our ILS.

I haven't had time yet to work up a new import profile for this in Alma. At this point, the non-library dept. staff enter bib data in the shared spreadsheet, then my copy cataloger uses a special template we set up in Alma and copies and pastes data from the spreadsheet into a brief bib in Alma.

There's another non-library department that's also interested in using Alma starting in Winter Quarter to manage their quarter-long textbook loans too. They have about 700 textbooks, so I'm going to have to work out an import profile for this in the next few weeks. I can share my notes/instructions with anyone who's interested.

It will be ok!

Subject: [Wactclc-alma] Quick cataloging vs. MDeditor

Hi,

We have equipment from the IT department that gets cataloged in the library system to help track inventory and monitor who has stuff checked out/what's available, etc.

Does any other library catalog equipment for IT or keep materials in the library catalog that is not actually acquired by the library (like the campus prints or IT equipment, etc.) so it doesn't have to go through acquisitions but that still needs to be cataloged?

If so, how do you catalog it? I looked up on basecamp and found something about creating templates in MDeditor, but was wondering about the ability to use "Add Physical Item" under Resources/Create Inventory. This option seems limiting though since when you go to create the item, the only option it gives you is book or article. So if you're creating a record for a camera, then you'd have to go in and edit the leader on the item after creation.

I'm just curious if anyone else catalogs items that the library doesn't purchase but still maintains and inventory for and if you go through MDeditor using templates or if you do a "quick catalog" with the "Add Physical Item" option in resources/inventory.

Thanks,
Stephanie
