[Wactclc-alma] Interesting Lost Fee issue we discovered today

Just FYI, the “as designed” process for removing lost loans from user accounts is to use the “close lost loans” job, as described here:

https://knowledge.exlibrisgroup.com/Alma/Knowledge_Articles/Create_a_set_to_close_lost_loans

Note that even after closing a lost loan, any unpaid fines and fees for that item will remain on the patron’s record until paid.

The only danger of changing the status to “missing”, as Xinhang suggests, is that you might end up down the road searching for that item in the stacks, even though the item was actually lost, and not marked missing in the traditional sense (couldn’t find the book in the stacks)

Thank you Xinhang for this clear description of what to do with this issue.

Here at Bellevue, when a student pays for a lost item. Instead of checking it in, we go to Actions-->Delete Loan. This takes the item off the student’s record and changes the item status to “Missing”. There is no credit issued to the student.

As for your situation, the only solution I could think of and tested was adding $45 fine/fee to the student’s account using the Add Fine or Fee tab. After the fee is added, the credit is cancelled out and you will get a $0 balance.

Happy New Year everyone,

We discovered something new today that we have not encountered before.

A student checked out a book and lost it. He was assessed a lost book fee ($45) and he paid it. Everything was recorded correctly in Alma so far.

We have a policy of taking a lost item off a student's record once it is paid for. What we usually do is check the book in and then withdraw it; however, when we checked the book in after the payment was made, a $45 credit was issued to the students account. Alma now shows a -$45 on their record. I can't seem to find a way to remove the credit balance from the student's account.

Have any of your circulation staff encountered this. If so, how have you dealt with this situation.

Thanks!
