[Wactclc-alma] Create the report based on Excel file

It works! I just run a report for 1830 IDs with the couple of clicks!!! Thank you so much for all your help!

Shellie, thanks for the file! This is what I was looking for. I am trying to do it but not successful yet... Will play with it more. if not, then I will do what Paula suggested - export the report to Excel and will use Access to match the IDs. 
Paula, thanks for the suggestions! Yes, I will need to do a batch at once. It is so many IDs I will need to check.  So,  I will probably go with Access... But I will keep the "prompt" idea for the other reports :-)

We have a list of the students that we need to see if they have any fines and how much do they have.  We do have an analytics report that shows the fines and fees the students have. BUT, how can I filter it to see the fines for the specific students? Those filter's options that exists, don't really help me because the list I have is so irregular (those students might have different fines, the fines could be created at different times, etc...) So, I can't really filter it.. But I have the excel file with those ID numbers. Is it possible to filter the results by uploading the file?

I just tried this, and it worked. Create a column prompt on the Primary Identifier field. (Be sure to have the "user input" set to text.)  Save the query again. You won't see the prompt if you click the "results" button, you have to close the query and "open" it. Then you will get your prompt where you can enter the patron ID and see what &why they owe.

Is this what you are trying to do? If you don't want to do it one-by one I don't know how (or if) you can link an external table of IDs to ALMA. We could do it with VGER easily enough.

Hi Nadine,

I've never attempted to use an Excel file (or csv file) in/with Analytics, but I think it is possible.  Or maybe, more specifically, it might be possible to use data from an Excel file as criteria for a filter in an Analytics query.

I found a how-to document that might lead us in the right direction.  It's not focused exactly on what you are doing, but it might work.

Another thought. I see you want to do a batch at once. I think in that case I would export the patrons w/ fines-fees records to Excel and then use  Access to match the ID fields from the specific patron list you have to the ALMA list of patrons who owe fines and fees.

But in any case, you actually want to ask for the alma_tab2_full link to be suppressed for electronic resources.


There's a good ticket for Big Bend on this one: 435040, that you could borrow text from.

Hi all,

Pierce College is seeing a couple of odd things in Alma, so I thought I'd check with the group before I open a ticket.


1)      Tabs are displaying buggy in Chrome (Version 60.0.3112.90 (Official Build) (64-bit)). Screenshot attached.

2)      Our Pick List will not print. Getting "ERROR: undefinedresult OFFENDING COMMAND: setcachedevice" Screenshot also attached.

Is anyone else experiencing either of these issues?

Just a quick follow-up...



In a nutshell, you can include multiple values in the 'is equal to / is contained in' filter, separated by ; (see screenshot below).





So, if you just paste in a text string a filter comparison, something like.... "123456789;012345678", the result will bring back matches for each of those id's.



(This works with any field, not just primary ID).



So, get a list of the id's you want, do a change all to change the line breaks to " ; " (if you're not sure how, just google how to do it in whatever editing tool you use), and then paste into the analytics filter.

Shellie, thanks for the file! This is what I was looking for. I am trying to do it but not successful yet... Will play with it more. if not, then I will do what Paula suggested - export the report to Excel and will use Access to match the IDs.

Paula, thanks for the suggestions! Yes, I will need to do a batch at once. It is so many IDs I will need to check.  So,  I will probably go with Access... But I will keep the "prompt" idea for the other reports :-)

So, I can't really filter it.. But I have the excel file with those ID numbers. Is it possible to filter the results by uploading the file?

I just tried this, and it worked. Create a column prompt on the Primary Identifier field. (Be sure to have the "user input" set to text.)  Save the query again. You won't see the prompt if you click the "results" button, you have to close the query and "open" it. Then you will get your prompt where you can enter the patron ID and see what &why they owe.



Is this what you are trying to do? If you don't want to do it one-by one I don't know how (or if) you can link an external table of IDs to ALMA. We could do it with VGER easily enough.

I've never attempted to use an Excel file (or csv file) in/with Analytics, but I think it is possible.  Or maybe, more specifically, it might be possible to use data from an Excel file as criteria for a filter in an Analytics query.



I found a how-to document that might lead us in the right direction.  It's not focused exactly on what you are doing, but it might work.

Another thought. I see you want to do a batch at once. I think in that case I would export the patrons w/ fines-fees records to Excel and then use  Access to match the ID fields from the specific patron list you have to the ALMA list of patrons who owe fines and fees.

A follow-up to say our printing error is only happening in Chrome. So we believe the new Alma is not playing nicely with the Chrome browser.
