I've sent you a ton of emails over the last few days (sorry!) but want to make sure I'm getting you the info or requests as they come in.

This is a call for reps from the DEOC to be on the Student Success Tool RFP Task Force. Would you let me know if you're interested in adding your name to a pool that goes to WACTC (presidents and chancellors) as they create this taskforce?

In your response, can you please send me a couple of lines of your interest? I need to submit names by Monday, December 11, 2023.

Dear Colleagues and liaisons to BAC, ITC, WSSSC, IC, DEOC, and RPC,



I am reaching out to request your support in providing a short list of 4-5 potential commission representatives who may serve on the Student Success Tool RFP Task Force. The shortlist of individuals generated through your input will be submitted to WACTC for their final decision on taskforce membership, with the taskforce set to commence its activities January 2024. I am requesting your reply no later than Monday, December 11th to compile this list.



Student Success Tool Purpose:

The primary purpose of the student success tool is to enhance and support academic progress, academic planning, and student achievement. These tools provide insights into student performance, engagement, and behavior, allowing for interventions and support. Key objectives include improving retention, graduation rates, and providing a positive e-learning environment. Student success tools, utilizing data analytics, communication tools, and predictive modeling, enable educators and institutions to proactively address challenges, identify opportunities, and contribute to the well-being and success of students.



Background:

The responsibilities associated with this role are still being refined, and your insights will be invaluable in ensuring that the selected representatives align with the evolving requirements of the taskforce. The overarching goal is to have a diverse and skilled group that can effectively communicating with their peers and contribute to the development and implementation of the Student Success Tool RFP. The timeline for this taskforce is likely to be approximately one year.



Your Assistance:

Please work with your commission leadership to identify 4-5 individuals within your commission who possess the expertise, inclusive and people-centered communication skills, and commitment to make meaningful contributions to this taskforce. Please share the taskforce principals identified by WSSSC that will guide this work (located at the end of this email) as an initial step of commitment. Once you've identified potential candidates, please provide me with their names, title, institution, and a brief rationale for their suitability by Monday, December 11, 2023.





Next Steps:

The compiled commission recommendation list will be provided to WACTC on Friday, December 15, for their deliberation. WACTC is anticipated to select 1-2 representatives from each of these areas (note: additional members from other councils and groups are anticipated as well). Once identified, I will confirm selected commission individuals with each of you. The selected representatives will embark on their responsibilities starting in January 2024 through virtual participation.



We greatly appreciate your cooperation and assistance in making sure that the taskforce is comprised of diverse individuals who can actively contribute to the success of this initiative. Should you have any questions or need further clarification, please feel free to reach out to me!

Student Success Tool RFP Process Guiding Principles:

  *   Understanding the Need for Change: Recognizing the necessity for change and acknowledging existing pain points and limitations is the first crucial step in initiating this transformative process.
  *   Clear Definition of Objectives: After identifying the need for change, the focus shifts to defining clear objectives, outcomes, and revised business processes.
  *   Thorough System Selection: The selection of the right system is a pivotal decision. It involves extensive research, consultation, and at times, trial and error. The chosen system should align with the defined objectives, be user-friendly, and possess the capacity to adapt to evolving needs.
  *   People-Centric Approach: System adoption is not merely about technology; it centers around people. Creating a supportive environment and fostering open communication are vital aspects of this journey.
  *   Anticipating Disruption and Flexibility: Expecting some level of disruption and being prepared to address it is paramount. The process of testing and adjusting should be normalized.
  *   Patience and Long-Term Focus: Patience is, perhaps, the most critical element during the post-adoption phase. Reinforcing a long-term focus is essential for all stakeholders, fostering a culture of continuous improvement.
