[ctcLinkfinaidsupport] Shut Down Activities for PeopleTools 8.59 Upgrade

Good afternoon,



We are getting ready for our PeopleTools 8.59 upgrade, on April 29. As part of this upgrade, we will need to have all jobs canceled and all nightly reports in advance of the system take down. Therefore, this is our reminder that production will be down Saturday April 29th, where Campus Solutions, Finance and HCM will be taken down and users will not have access to the system until Saturday evening.



We will need to run the Student and Cashiering Fund Balance Jobs at 1:00p, sharp Friday afternoon (4/28/23). This means that all the Cashier's Offices need to be closed by noon Friday the 28.  Your Cashier Offices will also be notified directly of this expected shut down. Should they have any questions please have them reach out directly to the SF Support Team.



Here is a breakdown of how this will impact and items that need to be done in Finance, Student Financials, Financial Aid, and Campus Solutions on Thursday, and Friday thru Saturday for the full system take down.



General FIN:

  *   All job processes will run as usual the evening of Thursday, April 27
  *   Friday, prior to 3pm, all job processes will be canceled by Sharon Kinberg
  *   Sunday, April 30, Sharon will reschedule the jobs to run over night Sunday into Monday



Student Financials/ Finance Journal Jobs:

  *   Cashier offices will shut down Friday, April 28 at noon and run their jobs to close out
  *   SF Support Team, at 1pm Friday, April 28, will run the GL jobs (cashiering and student GL)

  *   Once those are complete, Sharon will run the journal generate process to pick up the SF journals
     *   If for some reason, the SF jobs (cashiering and student GL) run longer than expect and we cannot run the journal generate process prior to 3pm, this will be picked up Sunday night at the latest.



In addition, we will need to have folks go through the steps to cancel scheduled job sets and any recurring processes/jobs. See the Process Take-Down Instructions QRG<http://ctclinkreferencecenter.ctclink.us/m/81602/l/1468473-process-take-down-instructions>, to assist with the steps involved. This component is primarily for the Financial Aid and Campus Solutions Core areas, as the Finance and HCM areas are handled centrally at SBCTC.



Financial Aid:

  *   Cancel all reoccurring or prescheduled processes and jobs that you have schedule by Friday, April 28, no later than 3:00pm
  *   Financial Aid users will receive an email on the FA listserv with specific instructions


Campus Solutions:

  *   By noon Friday, April 28, cancel any reoccurring or preschedule processes and jobs that are set to run between 5:00pm Friday, April 28 through 12:00am Sunday, April 30
  *   OAAP, CampusCE and HCX (Mobile) will all be offline during the upgrade on Saturday, April 29
  *   Canvas will not be impacted by this upgrade, but users will need to access Canvas directly rather than through ctcLink
