You are receiving this message because you have participated as a member of the Student Success Software RFP committee, the Student Success Software RFP Vendor Evaluation Scoring Team, and/or the Strategic Technology Advisory Committee.

We are excited to announce that demonstrations have been scheduled with the top four vendors from the RFP process. Each demonstration will include a 90-minute presentation followed by 30 minutes for questions, making each session two hours in total. The sessions will not be recorded.

Important Confidentiality Guidelines

These demonstrations are part of the confidential RFP process and subject to public disclosure laws in accordance with Chapter 42.56 RCW, the Public Disclosure Act. Please note:

  *   Any notes or written feedback you take during the demonstrations are protected during the RFP process but may become disclosable once the apparent successful vendor is selected.

To maintain the integrity of the process, we ask that non-scoring participants agree to the following:

  1.  Do Not Discuss RFP Scores
Avoid discussing RFP scores or evaluations with members of the Vendor Evaluation Scoring Team (VEST). Scoring discussions are strictly prohibited.
  2.  Provide Feedback via Survey
All feedback on vendor presentations should be submitted to the VEST using the provided feedback survey<https://docs.google.com/forms/d/e/1FAIpQLSfAPp8hseLpD-Y-158PgmckyFLRtoIg7e8d9-SC49cjqR_YZA/viewform>.
  3.  Do Not Share Presentation Content
Refrain from discussing presentation content outside the group of viewers. This is not an opportunity to "share what you learned." Information must remain confidential until the RFP process is fully closed.
  4.  Ask Questions Thoughtfully
While you are welcome to ask questions during the demonstrations, please be aware that VEST members have reviewed detailed vendor responses and may have additional context.

Next Steps


  1.  Review and Update Scores:

Following the demonstrations, VEST members will have the opportunity to review their initial scores. Any updated scores should be emailed to Abraham Rocha<mailto:arocha at sbctc.edu>, who will recalculate the rankings for the top four vendors.

  1.  Accessibility testing

Vicki Walton, Web Accessibility Specialist/IT Quality Assurance Tester for SBCTC will conduct testing both concurrently and separately from the presentations. This preliminary functional testing will focus on evaluating pages from a student user perspective using the following methods:

*                          Screen reader testing

*                          Navigation without a mouse

*                          Voice command usability
Additional testing through an external vendor will also be performed to document concerns.

  1.  Finalize Evaluation Scoring:

After completing the vendor presentations and the accessibility final review, we will finalize the evaluation scoring.

  1.  Present Scoring to Executive Sponsor:

The finalized scoring and the recommended winning vendor will be presented to our Executive Sponsor for approval or denial to move forward with the award.

  1.  Contract Negotiations:

During contract negotiations, we will have an additional opportunity to address and discuss the cost of the services.
