Greetings,
I'm writing to clarify the next steps in the vendor selection process, and I want to thank you for your patience and support as I navigate this complex process-there's much to learn along the way!
Abraham will determine an apparent successful vendor based on the scores provided from the initial evaluation of proposals. However, this is only the first step in a multi-phase selection process.
What Happens Next:
1. Vendor Demonstrations: We will move forward with demonstrations from the top-scoring vendors to validate the information shared in their proposals.
2. Accessibility Testing: Following demonstrations, further accessibility testing will be conducted, and those findings will be incorporated into the evaluation process.
3. Final Decision: The actual successful vendor will be selected based on a comprehensive assessment of the proposals, demonstrations, and accessibility testing results.
In simpler terms, the apparent vendor is identified from the proposals alone, but the actual vendor will only be finalized after validating functionality and compliance through demonstrations and testing.
We will follow up soon with opportunities to participate in the vendor demonstrations as they are scheduled.

Subject: RFP Taskforce Update and Next Steps
Dear RFP Taskforce,
I hope this email finds you well and that you each have plans for some well-deserved rest before the start of the winter quarter.
I'm writing to share an update on the RFP process for the Student Success/Advising Software.
First and foremost, thank you all for your incredible dedication to this project. A special acknowledgment goes to the evaluators who invested significant time and effort in reviewing and scoring the 10 proposals during such a busy season. Their hard work has been pivotal to our progress:
* Student: Moriah Reid-Nnanabu (Pierce Puyallup)
* Student Services Commission: Ruby Hayden (Lake WA Tech)
* Advising and Counseling Council: Olla Ibrahim (Renton Tech)
* Accessibility: Kyle Gonzalez (South Puget Sound)
* Registrars: Jenny Wheeler (Green River), Karl Ritter Smith (Whatcom)
* Institutional Research: Roy Calligan (Spokane)
* Presidents: Matt Campbell (Pierce)
* Business Advisory Council: Brett Riley (Wenatchee Valley)
* Information Technology (IT)/Security: Rip Heminway (South Puget Sound), Jill Hammitt (Highline College)
* Instruction Commission: Cathy Leaker (Everett)
* Basic Education for Adults: Ted Mansfield (Bellevue College)

Abraham has compiled and calculated the scores, which will guide us in identifying the apparent successful vendor. He is also conducting vendor debriefs and anticipates notifying the successful vendor by December 20th.
Next Steps:
* January: Vendor demonstrations and accessibility evaluations will take place.
* February: We anticipate finalizing a statewide contract, after which individual colleges will be able to establish their own agreements with the selected vendor.
We understand that implementation planning will involve key conversations with WACTC, especially regarding the process for early adopters. We are pleased to share that Marty Alvarado from SOVA has agreed to help facilitate and support our taskforce as we move toward finalizing this critical project. Our team will follow up to schedule a taskforce meeting in January.
The Student Success Center is committed to supporting the implementation of this tool across the system. We are fortunate to have technical assistance from Jobs for the Future and funding from Ascendium to aid in this effort. We hope the taskforce can play a significant role in shaping this project and communicating the opportunities as they evolve.
