Elena,

Unfortunately (AFAIK), the Alma Import profiles will only treat the 856 in one of two ways:

1) Use the *first* 856 field to create one portfolio record
2) Use *all* the 856 fields to create multiple portfolio records-- one portfolio for each 856

With (2) you can tell Alma to ignore an 856 field with a specific type of indicator, but you can't tell Alma to ignore the 856 based on text within any of the subfields themselves.

Dan ran into this last year when Films On Demand added a new 856 field with a link to cover images, coded the 856 as a link to the resource itself, put the cover image 856 as the first 856 field, and didn't bother to tell any of their customers they'd done this. Thanks to Dan's experience, I now edit our Films on Demand bibs in MARCEdit first to strip the cover image 856 fields. ;)

There are 2 different ways I'd approach this:

1) Edit the file of MARC records in MARCEdit prior to import to remove any 856 fields that you don't want.  You could delete any 856 field with the second indicator = 0 and $u does not contain [whatever the root EBSCO URL is]

or

2) Have acquisitions staff add the static URL for the e-title when they create the POL

We're using the second approach when we license individual e-resources from EBSCO Collection Manager or Kanopy.  Then, when we load the full bib record, we use an import profile that only overlays the existing bib; it doesn't create portfolio records.

We're using the first approach if we load vendor records for a package purchase where the POL is for the package, not for individual titles within the package.


Does this make sense?

FYI, the way we're handling EBSCO ECM titles is to create a POL on the appropriate portfolio record in the CZ collection.  Because the ECM titles are licensed for perpetual access and the CZ records aren't always great, we decided we wanted to use OCLC records for the ECM titles.  We use MARCEdit to export the OCLC record numbers from EBSCOs file of vendor records and import the OCLC records into Alma using an import profile that only creates/overlays bib records.  Then we manually relink the OCLC record to the portfolio record from the CZ collection.  If we were ordering thousands of ebook titles a year, this wouldn't be a sustainable workflow, but it's ok so far.  And honestly, if you're ordering titles one at a time, there's only so much automation you can do. At some point, a human being has to deal with the individual title.


It will be ok!

They are from Ebsco ebooks. The 035's from the imported records from Ebsco look like this:

The brief bib generated by the Purchase Request looks like this:

I also noticed a problem in that this particular record had two 856's and the ebsco link was the second one, but the import profile used the first one to populate the link in the portfolio. That led to the record not working in discovery. I edited the MARC record to delete the first 856 and that fixed it so it now works just fine, but I wonder if there's any way in the import profile or a normalization rule to ensure that the 856 that is used is the actual vendor link.

I hope that's enough info to help troubleshoot.

What vendor are the records from?



Do the records have vendor-specific ID (035) numbers? If so, what do they look like?



For vendor specific records, that you don't want to intermix with print, you can use the match method of "035 Other System Identifier", and then specify the vendor-specific prefix, whatever it might be (usually something other than the standard OCLC prefixes like 'ocm')



And you should be able to use all of the standard overlay settings to match just those identifiers, if those are the identifiers you've included in your purchase requests.



But it really depends on what your brief titles in Alma look like, and what the incoming records look like.



I looked at your recent job history, but couldn't identify any recent previous attempts.



Can you share an example of a brief title in Alma, and also what the incoming 035's look like, and where those records are coming from?

We are having a hard time importing ebooks. They are overlaying with equivalent print titles in some cases, and none of them are importing to replace the brief bib generated by our purchase requests. We know it's the match that we've chosen (I thought that extended fuzzy was the way to go, because it should check for the format in the LDR, but apparently not), but in reading the descriptions, none of the others would work, either.



Does Wade or anyone else have any ideas of which match method would work best here?
