Related to this topic, we’ve had a discussion in the Alma / Primo group about the digitization request workflow in Alma / Primo.

The digitization request workflow in Alma / Primo is less about digitizing content for use by entire classes (which would be better handled through Canvas), but instead for use by individual library patrons.

The workflow can be summarized as follows:


  1.  Patron places a digitization request in Primo on a title, and they can optionally specify a page range for digitization.
  2.  That request goes to a queue in Alma, where library staff can process those requests, similar to the queues for physical item requests.
  3.  If a request is OK’ed for completion, the resulting digitized content can be uploaded to the Alma cloud, where it is associated with the specific patron’s request.



  1.  Patron receives an email automatically, notifying them that their request can be picked up, providing a link to the content. Access to the content requires logging in with the same credentials the patron uses for Primo (typically, their campus credentials). Only that specific patron has access, and the content is removed from the Alma cloud after 90 days, or less if a shorter period is configured for the library.


Again, this workflow is for individual patron digitization request scenarios. And may be worth considering during extended library closures, and maybe afterward as well.

We are discussing how we might or might not be able to provide digitization of a large and heavily used textbook course reserve collection (documents in password protected Canvas courses).  But I'm conflicted about the amount of staff time needed to accomplish that and how we would with a shelter in place.

One of our library faculty that also teaches other courses wonders if faculty individually reach out to personal publisher representatives whether they will provide an e-copy.  I'm dubious but maybe?  Can we do something more collectively though?

Are you following the work of Controlled Digital Lending, as promoted by Internet Archives? They have a 40-page white paper that supports the idea of providing digital access to a physical work if the physical work does not circulate while the digital copy is out. It’s still one by one lending, according to how many physical copies you have to lend. Chris Freeland of Internet Archives contacted the State Library in the past two weeks to say they were seeing an uptick in their usage by universities for exactly this reason. If you all need more information on how to reach him or what is being done, please let Mike or me know.

On behalf of the Washington State Community College Library Leadership Council (LLC), I am seeking guidance on scanning portions of college textbooks to upload into password protected learning management systems.  Because of COVID-19 many Colleges are having to close our Libraries which limits some of our essential services, including providing access to textbooks that have been put on Reserve in support of college courses.  Recently, several law librarians from across the U.S. shared a webinar titled "Yes, you can scan that reserve textbook" on the impact of COVID-19 and Copyright Law. Here is the slide deck

Many of the LLC leadership do, in our professional opinions, but it would be helpful to know what your position is on this question. Everett Library has been open limited hours but closed as of yesterday.  Campus looking at going online in Spring.

At North currently the entire campus is on remote processes.  Decisions are being made this week about what essential resources will open on 3/30.  It is looking more and more likely that Library will remain remote operation.  Decisions also being made about how to proceed with Spring quarter, both for Instruction and for the rest of the campus.  In the meantime, Librarians are ramping up remote access services, Circ and other staff are re-orienting to working remotely, and the TLC, Student Media Center, and eLearning are all working double time to provide services and support to faculty, students and staff.  Library is working in tandem with other stakeholders to provide access to Chromebooks to students who need them.



I occasionally walk outside and realize it is spring.

I really struggled with the decision to close. It wasn't until this past weekend when I read the daily death tolls in Italy that it truly hit home...the virus doesn't care about equity; it doesn't care about work ethic; it doesn't discriminate; and it doesn't care at all.



I decided to protect my staff as much as possible. I, too, wish that all colleges would move everything online and shut down all campus services.

My spouse works at Fred Hutchinson Cancer Research Center.  The Epidemiology Dept. at Fred Hutch is on the forefront of research on COVID-19. They're about to temporarily transition their entire multi-building campus to a schedule that only allows a single person to be working in any lab at any given time.  That's how seriously they're taking this.

   Similar here, advisory statements in our open spaces, chairs removed to gently “enforce” social distancing.  We’re moving to a “books on demand” model—no browsing of the stacks—we’ll deliver!



I do need to order gloves.  I’ve also been debating what to do about our textbook reserves—my best thought at the moment was to extend the loan period to balance access with germ containment.

Hi Candice, hi all:



We have a textbook lending program and course reserves. We’re not closing the library at this point, though we are limiting access to students and SPSCC staff (no community users). We are hoping to buy a “bug box” to disinfect materials, and we are not handling materials without gloves.



If we do close the library, I think we may keep a checkout station open at the front.

How is everyone handling this for spring quarter if you have chosen to shut down the library?



In order to protect our staff and do our part in helping stem the spread of the virus, I chose to shut down the TCC Library for spring quarter (albeit with online faculty librarian support). All instruction is going online at TCC. That said, this means that textbook reserves will not be available. We are checking out class sets to instructors to distribute to students, but the individual textbooks will not be accessible.



I'm getting some push back about this. If you are shutting down the physical library, how are you handling textbook reserves?
