Please review the below update to the BEdA Grading Basis and let me know if you have any questions. Many thanks to several folks on the ctcLink and data services teams for making this happen!
Background
When a BEdA student withdraws from a class after census, the system automatically assigns them the "W" grade within the GRD Grading Basis. This causes their Grading Basis to be changed from BGB to GRD, which results in the student's "W" being calculated back into their attempted units. This can potentially cause downstream impacts to areas like career statistics, NSC reporting, and Financial Aid.
What is Changing (The Good News!)
The CS Support Team will implement a configuration fix the evening of August 9, 2022 to ensure BEdA students who withdraw from a BGB class will not be changed to GRD moving forward. This fix will update each college's Grading Scheme Table to ensure students who withdraw from a BGB class will receive a "W" grade within BGB. There are no configuration or business process changes required from college staff for this update. Students and staff may continue withdrawing as usual.
As part of this fix, the CS Support Team will also address cleaning up withdrawn BEdA students whose Grading Basis was changed from BGB to GRD. The cleanup will correct their Grading Basis and related term and cumulative statistics. The following colleges are impacted and will be included in this cleanup. Those marked with an asterisk include withdrawals from the current term 2225 Summer 2022. If your college is not included on this list, no students were impacted and no cleanup is necessary.

What is Needed from Colleges
National Student Clearinghouse (NSC) Reporting - Colleges with withdrawn students in the current term 2225 may encounter NSC reporting errors with their next submission following the data cleanup. This is due to the change in how units are classified for progress for the GRD and BGB basis. Colleges are recommended to correct the student record directly with NSC as needed.
Financial Aid Impact
Students within this population may have potentially had their SAP calculations affected; not all impacted students had an affected SAP status.
What does this mean? Students in the affected population may have calculated to a SUSP - Suspension status, or other negative impacting status, potentially preventing funds from going out. Students already on a "Not Meets" status would not have been altered to a positive SAP status, such as Meets or Warning. Although your college may be listed above, your college's FA office may not need to take action.
Once CS Core has completed the clean-up process, FA Support will contact each listed school's FA office with additional information.
Your school's FA office will receive an email regardless if you have affected students or not.
