[corrections_edu_deans] End of quarter celebrations

My language when sending to staff prior to using the memo:

All Education notice:

  *   Please find attached a memo to bring in treats for the final session of classes, and/or for admin staff final week treats as desired. Please print a copy of this memo and have it with you when you are bringing in any food items.
  *   This is optional. This is not part of the Education budget. If you choose to bring in food, it is at your own expense.
  *   Please avoid bringing items that require heating or refrigeration.
  *   Be sensitive to food allergies, possibly polling your students / staff in advance.
  *   Please use discretion and restraint. This is NOT an invite for a free-for-all. Limit your quantity to 1-2 treats per I/I. Keep in mind that this is sometimes not a popular practice with many of the custody staff. Be sure to communicate this with them in advance, ensuring them that this has been approved by the Captain, hopefully eliminating any stress on the day(s) in question.
  *   Please follow DOC policy at all other times. There have been reports (plural) by custody staff, that instructors have been seen providing food to the incarcerated population. This should only ever happen in circumstances such as this, where it is discussed and approved in advance. This keeps all of us safe and keeps others from questioning whether we've potentially been compromised. Again, this should be the exception to the rule. If you have questions...always ask first.

To end on a positive note, please use this as the celebratory and reward-driven treat that it is intended to be. Your students work hard...feel free to reward them. Here's to a great end to another great quarter!!

I don't have anything to add here from a clear policy directive. Matt's advice seems the most sound. From a fiscal standpoint, the closest language is DOC 240.800<http://insidedoc/policies/DOC/word/240800.pdf> but that doesn't quite match since it is for staff meetings. However, the cost guidelines may be appropriate when asking campus to ok the expenditures.

I appreciate that.  I know that custody staff frown upon it and that is why I was curious to if there was something in black and white that I can show staff/faculty and COs that could pertain to these instances.  I will reach out to the Captain to determine what we can implement for a local approval and set appropriate expectations for these circumstances.  Thank you!

I can't cite policy on this one, but my general approach is just transparency in communication. Typically, custody staff take the stance that we don't bring things in for the incarcerated population...period...end of story. Upon further exploration, however, I have found that conversations, followed by submitting "permission" memos to Captains (who have already been talked to in advance and approved of the idea)...our staff have been able to bring in treats to celebrate final day(s) of class. I recommend keeping these requests to a minimum...the more we ask to bring in, the more we're going to be scrutinized by custody staff, who often have a harsher view of these interactions/rewards than those of us in education.

Does anyone know the policy on what we can and cannot do in terms of end of quarter celebrations and if there are certain times we can provide in class treats for completions of events other than the formal graduation ceremony?  I have a lot of staff asking and I am having trouble finding a specific policy but I am sure there is one lol  Thank you in advance all!
