[BFET] [UCE] Washington Secure Email Portal Update

Good Afternoon BFET Team,

As you may know DSHS has switched vendors for the Washington Secure Email Portal.  Effective January 31st the old WaTech Platform will be disabled and no longer available for use. The new platform does not allow us (SBCTC and CTCs) to send emails within our college system. DSHS is aware of this and it is a state government wide issue that impacts most of all state government agencies that use the Washington Secure Email Portal to conduct business.

At this time, DSHS is working with their highest level administration to prepare impact analysis to their board members for assisting in an amendment to the contract that is governed by the legislature. This will take time and is a priority for DSHS.

In the meantime, providers will be able to send and receive confidential information to anyone whom has eJAS access (SBCTC Administrators, DSHS Case Managers, other Providers etc.) by using the eMessage Center in eJAS. This workaround is limited however. The eMessage Center is used to send confidential information within the body of the message and does not support contents of large documents/spreadsheets. Furthermore, the eMessge Center will not allow sending nor receiving documents as attachments. DSHS is working on a temporary solution for sending/receiving attached documents that contain confidential information. As soon as one has been identified we will update the system.

Attached to this email is a simple "How to" for sending eMessages within eJAS.

We understand the difficulty this has caused and have communicated to DSHS the need for this to be considered a high priority. If you have any questions or find issues in using the eMessage Center please let us know so we can alert DSHS.
