Please take the time to complete the two (2) attached forms, specifying the amount of supplemental 100% funds you are requesting and the number of additional students that can be served with this funding. The additional funding you request should be equal to the amount you have already submitted to SBCTC for admin, indirect and tuition. Remember, 100% funds cannot be expended on participant reimbursement. The performance form should list additional students by the components you are using as specified in your BFET grant application. Also, you will only be inputting students in the 3rd and 4th quarter columns (April-September). The DSHS email specifies a due date of next Friday, October 21st. That is DSHS' hard deadline for receiving this request. We didn't receive as much as was requested, so individual college requests were prorated down accordingly. (See original email below for info on 50/50 indirect.) The first attachment to this email contains the maximum amount your college can claim for 50/50 Indirect. Budget this amount in the Indirect budget cell on your General budget line (not on the 100% Funding line). The second attachment reflects the grant increase. SBCTC will adjust your grants in OBIS the week of October 17. Once we've adjusted your grant, you will receive an automated award email from OBIS requesting that you do a budget revision. The first policy applies to participant reimbursement processes for textbooks and supplies purchased through an internal bookstore. The second policy allows you to document participant reimbursements on a form other than the DSHS Participant Reimbursement form if you include a few required elements and obtain prior approval. Both of these policies are presented below and will be included in the next BFET Provider Handbook update. Textbooks & Supplies Policy - Internal Bookstore Only Participant Reimbursement documentation for textbooks and supplies through an internal bookstore must include: 1. Participant Reimbursement form supplied by DSHS or an alternative form approved by the SBCTC WorkFirst Program Administrator, which includes the following elements: o BFET Participant Name and an identification number (SID or eJAS ID) o Date of participant request o Identification of requested support services (there is no limit to the options that may be listed on the form, however "Books" must be included) o Student declaration, to include, but not limited to: ? Liability Statement: the liability statement should reflect the requirement that the support services received cannot be misused and that a misuse of support services can result in repayment of funds. This is a friendly reminder that BFET invoices for Jul-Sep 2016 are due and must be submitted via OBIS today, October 31st. DSHS-approved billing rosters should simultaneously be submitted to me via the WA State Secure Email Portal, if you have received it. However, your invoice must be submitted today, even if you do not have an approved billing roster. OBIS will not allow you to submit after 11:55pm tonight, though SBCTC staff will not be available to assist you after 4pm. If not able to be submitted today, your approved roster should be submitted to me as soon as possible via the WA State Secure Email Portal. Happy to answer any questions you might have.
