[Wactclc-alma] EBSCO (State???) Ebook Collection

Melinda,

The fact that there's no Interface or Collection listed in the Alma record, along with the fact that the Alma display shows an OCLC number in the "Record number" field suggests to me that these records were in your Voyager catalog before you migrated to Alma-Primo.

If you included these titles in your P2E list at migration, then Ex Libris would have brought over the bib records and created 1 portfolio record for every 856 field in the bib record, but Ex Libris did *NOT* put any P2E portfolios in any electronic collections.

In addition to figuring out what these things are, you want to get them into an electronic collection, right?

To get a list of all the electronic titles *NOT* in a collection, do an Alma Analytics report in the E-inventory subject area with the criteria:

Lifecycle - is not equal to/is not in - Deleted
Electronic Collection Public Name - is null

Are the 15 audiobooks you bought directly from EBSCO already in an electronic collection? If not, put them in one right now. ;)

If the 15 directly-purchased audiobooks are their own electronic collection, you can probably assume that any electronic audiobooks that *aren't* in an electronic collection and that have "ebscohost.com" in the URL were part of that Washington State Library package.

Especially since the WSL project page<https://www.sos.wa.gov/library/eaudiobooks/libraries/HowToJoin.aspx> Carleigh found says that NetLibrary was one of the original vendors and I know that EBSCO bought NetLibrary.

But this is where it gets tricky.

When I pull up Demon Mistress in your Primo and "Display Source Record" to look at the MARC record, I don't see any common elements that can be easily used in an Alma Analytics search.

It *might* work to create an Alma Analytics report that looks for portfolio records with:

Electronic Material Type = Sound recording
Lifecycle = Active
Electronic collection name Is Null
URL contains ebscohost.com

In any case, I do see elements in the MARC record that you could use with Indication Rules to create a Set in Alma.

The bib record has these fields that I would expect to be present in all the audiobooks (probably):

300     ##$a1 online resource (1 sound file)

500     ##$aAudio file.

655     #7$aAudiobooks $2lcgft

So what I'm thinking is:

Step 1: Create a local electronic collection to add the portfolio records to
Step 1: Use an Indication Rule to find bib records in Alma that have "online resource" and "sound file" in the MARC 300 field.
Here I have to recommend contacting Hannah Micona at Renton, who knows more about how Indication Rules work than I do.
Step 2: Save the results as an All Titles Set in Alma
Step 3: Export the set as an Excel file
Step 4: Create an Alma Analytics report in the E-Inventory subject area that looks for:
              Portfolio lifecycle = Active
              Electronic Public Collection Name is Null
              Portfolio URL contains "ebscohost.com"
Make sure the Portfolio ID number is one of the display fields in the report.
Step 5: Add a filter for "Bibliographic Details.MMS Id" and copy the MMSID numbers from the Excel file into that filter
Step 6: Create an itemized "Electronic Portfolios" set in Alma and "Add Contents from File to Set > From Analytics" then select your Analytics report
Step 7: Follow the instructions here to add the portfolios in your set to your local electronic collection:

Once that's done, you should have fewer things in your Alma Analytics report of electronic titles that aren't in any electronic collection. You can look through that list for any more audiobooks you may have missed and add them to the local electronic collection manually.

EBSCO should be able to give you a list of all the audiobook titles you have access to. Take out the 15 titles you know you bought and compare that against the titles you added to your new local electronic collection.

Does that make sense?

This is follow-up to our conversation at today's meeting.  Here are some screenshots and what little background I have.
The first 15 or so are ones we purchased. The other 800 are of undetermined acquisition.  According to George Dragich, there was a State Purchased collection of audiobooks at one time.  From what I can tell, it was prior to 2014.
