We had something similar happen back in 2019 only it was a missing phone number, not a missing address that caused the problem.

Here’s what Wade wrote:

The issue is that the XML fields for phone number are present for this user (and a bunch of others), but with an empty phone_number field, like so:

            <phones>
                <phone preferred="true" segment_type="External">
                    <phone_number />
                    <phone_types>
                        <phone_type>home</phone_type>
                    </phone_types>
                </phone>
            </phones>

That’s the ‘mandatory field missing error’ that is showing up in the Alma logs.

John, if you conditionalize the phone stanza, so that the stanza isn’t created if no phone number is present, that will resolve the issue.


Tell your IT folks to do this for both addresses and phone numbers.


It will be ok!

I came across this exact same problem yesterday and found that in ctcLink if students did NOT have a value in the “home” address field, then they were “rejected” in the upload of ctcLink info into Alma and did NOT show up in Alma at all. (I went into the report for the upload job and found the list of rejected student ID numbers to test this out).

Conversely, students who DID have a value in the “home” address field in ctcLink DID have an account in Alma.

I sent this info to our IT Dept. to verify.  I also asked them if there was a workaround such as:

Any way to change what gets added to the XML file from ctcLink?  I believe the XML file extracts home address, but would there be any way to add the other address fields from ctcLink so that if there was no value in the home address field, then Alma would accept the first value from any subsequent fields list (such as “mailing address”) in the XML file?

I haven’t heard back from our IT Dept, but if they provide any useful info, I’ll pass it on to this listserv.

Hi All,
Another question - we have a handful of patrons failing (rejected) in the patron load due to "Mandatory field is missing: address line1”

I am assuming this comes from the CTCLink field for Address, but perhaps the student filled out the alternate address (Home vs. Mailing)??

Is this something anyone has come across and if so, how did you fix it?

On our end, we figured out that there were 4 students that had non ASCII characters.  It took 2 days for the patron load output from CTCLink to populate into Alma once it was changed.

We had issues with patron loads last week. There were no users being synchronized. It was something with the file load.



From Exlibris support:

"I noticed in looking at the configurations in Alma that both the sub-directory field on the S/FTP connection and the input file path field on the SIS integration profile have just a backslash "/". If the file is being placed in a folder and that is not specified in these fields, Alma won't find the file. Make sure also that the file is zipped before being placed on the FTP. If either of these are the problem, it should be an easy fix."



We ended up having to work with our network team and ExLibris, but users started synchronizing again! *phew!*

We've been getting something weird -- running start students aren't getting loaded with any patron roles. No roles at all. I can update them pretty quickly but I wonder if advising/ registration isn't entering in certain info that allows it to get populated somewhere.

South Puget Sound, Spokane, and Big Bend all report that they've discovered patron loads are failing at their institutions.  You'll want to check your patron load reports and make sure you don't have the same problem. If you're having problems, contact your IT department.



Melinda will post instructions on how to check the patron load reports shortly.



A frequent cause of patron load failure is ctcLink records that contain non-ASCII or non-UNICODE characters.  Your IT departments should be able to examine user records in ctcLink for this problem.





Here are notes about the patron load process that may help you with troubleshooting. Some of the info is specific to Seattle Colleges:





The patron load is a  3 step process:



    Step 1: Extract data from ctcLink (really a special server called DataSync which mirrors data in ctcLink to use for reporting purposes)

    Step 2: Deliver data as zipped XML file

    Step 3: Alma loads data







Step 1: Extract data from ctcLink



John Davis in IT uses a script created in-house to extract current employees and student records into a single XML file.



We have detailed queries that identify students taking classes at multiple colleges and employees who are also currently taking classes. These individuals are assigned a single Alma user group that reflects their multi-campus affiliation and/or the fact that they're simultaneously an employee and a student.



We do NOT track the college that an employee works for-- too many people work at multiple colleges and there's no easy way to report on this in ctcLink. Tracking this information would also make the number of Alma user groups unmanageable.  All employees have the same borrowing privileges across all libraries.



We only include the following employee types in the patron load:



Classified

Exempt

Full-time faculty

Hourly

Paraprofessional

Part-time faculty



As of 04/11/2022 we're loading students when they register for classes, whether they've paid or not. This is different from the old HP/SMS system where we could only extract student data once they had paid (i.e. enrolled).



John Davis has a process that can identify students who show up as registered one day but have dropped registration the following day. John's script assigns these students expiration/purge date = [today]



John Davis and Kirsti have it on their to-do list to figure out how to extract only student records if the students have paid (i.e. are enrolled as opposed to registered) but we're not there yet.



We're also haven't figured out how to use the IT script to update Alma expiration/purge dates when employees leave Seattle Colleges.





Step 2: Deliver data as zipped XML file



The extract job creates a zipped XML file and delivers the file to an FTP server hosted by Ex Libris.



Access to the SFTP server requieres the use of a single authentication key. Step 3: Alma loads data



Alma runs a daily jobs to process and load the XML file. The load job is configured in:



Alma configuration > Configuring: [Seattle Colleges] > General > External Systems > Integration Profiles > ctcLink Patron Load



The job is configured to run every day at 4:00 am



If you need to run the job manually, go to:



Alma configuration > Configuring: [Seattle Colleges] > General > External Systems > Integration Profiles > ctcLink Patron Load



Select Edit







Select the Actions tab











Scroll down to the Synchronize section and click Run











It will be ok!

Select Edit

Hi All,



We are also seeing something similar with our faculty and staff not

updating correctly from ctcLink. They are currently teaching or working but

ctclink is loading them as expired. I am trying to connect with our IT

person in charged of ctcLink to see if they can see on their end what could

be causing this.

Hi All,

Here are the steps to check your patron load job history:



Step 1:

Admin>Monitor Jobs

Step 2:

Click on the History Tab

Step 3:

Adjust date range desired (30 days at a time is maximum limit). Type "patron" into the search bar and "enter".

You can work backwards 30 days at a time.  I noticed we have been having problems since 7/16/2022.  Our last successful student load was July 15.

One thing to be aware of...



If IT sends a blank XML file with no patron records to the Ex Libris FTP server, Alma will process the empty file and the job history will show that the patron load job ran successfully.



I mean, technically the job did run successfully. It's not Alma's fault that there were no records in the file to do anything to.



You need to confirm 2 things when you check the job history files:





  1.  Status = Completed successfully

  2.  Records Processed >0



If you see the job ran successfully, but Records Processed = 0, then you know the problem is on the IT side of things.

Here are the steps to check your patron load job history:



Step 1:

Admin>Monitor Jobs

Click on the History Tab

Step 3:

Adjust date range desired (30 days at a time is maximum limit). Type "patron" into the search bar and "enter".

You can work backwards 30 days at a time.  I noticed we have been having problems since 7/16/2022.  Our last successful student load was July 15.

Abby-that is weird.  As far as I know, there's nothing in the XML file of patron records that sets the patron role.



I dug around in our Alma config settings.



Under Config > User Management > Role Assignment Rules





There were no rules but the Default Rule:

The default rule was created by Wade (back when we migrated to Alma-Primo?).  I updated the description just now to clarify that the default rule assigns the Patron role to all users.

The Output Parameters section had "Patron" in the Profile 1 field.

It sounds like you have some sort of rule that's accidentally excluding the Running Start students from having the Patron Role assigned to their accounts.



When you check the Role Assignment Rules in your Alma environment, what do you see?

We've been getting something weird -- running start students aren't getting loaded with any patron roles. No roles at all. I can update them pretty quickly but I wonder if advising/ registration isn't entering in certain info that allows it to get populated somewhere.
