Traci,

Here's another thought-when everyone was on the old SMS system, employee records and student records were stored on 2 completely separate systems-one for employees and one for students.

This meant that we had to send 2 separate files of patron records for loading.

Most colleges had their jobs scheduled to send the files in a very specific order so that if someone was both an employee and a student, one role would overwrite the other depending on which file got loaded when.

With ctcLink, there's only one system and we no longer have to load employee records separately from student records (and we've redone our patron extract job at Seattle to identify people who are both employees and students so those folks have all the borrowing permissions they're supposed to). But I think a lot of the colleges don't know this and are still sending 2 files of patron records to Alma.

I'm wondering if this is happening for you. If so, is one of your files completely replacing the other on the Alma SFTP server before the patron records even get loaded?

Thank you to those who responded to my email. Our IT department has looked at the following (our findings in red):


  *   One of the problems we ran into after going live on ctcLink was that IT renamed the fields the SSIDs and EMPLIDs were stored in in Active Directory. Alma was looking for ID numbers to be a field called employeenumber, but IT had put them in a field called employeeid.
     *   The EMPLIDs are being stored in the employeenumber field.



  *   you might want to check the load job for any failures as well.  Our students stopped loading over the summer, but since I wasn't checking the job, we didn't find out until the 1st day of quarter. The load  failure was due to  4 patrons having non ASCII characters in their profile.
     *   I checked the Alma load jobs for the past 30 days, and there were none related to this issue.



  *   do you perhaps have a Student ADFS (active directory) certificate that has expired?
     *   Our certificate was renewed at the beginning of the quarter.

It looks like I may have to submit a case to Alma.

Hi Kirsti,

We switched October 25, 2021. I think the issue may have started with the switch to ctcLink. We use LDAP.

I sent an email with our LDAP configuration in Alma to our IT guy earlier and asked if there were any changes since we ctcLink. I haven't heard back from him yet. I will ask him about the naming of the fields in the active directory.

Tracy,

How recently did you folks switch to ctcLink?  Like, was it months ago and students are only now having problems logging in to Primo?  Or did you go live recently and students started having problems as soon as you were live on ctcLink?

Also, do you know if you use Single Sign On (SSO), LDAP, or something else for authentication?

You may be able to find out by going into Alma config > Discovery > Authentication > User Authentication

Also check Alma Config > General > External Systems > Integration Profiles. What do you see there?

This is a complete guess since I don't know how your authentication is set up, but do you perhaps have a Student ADFS (active directory) certificate that has expired?

You could check your Integration profile to see if it has expired and replace it with a new one (I had to do this recently with the help of our IT Dept. which is why it is fresh in my mind)

I hope everyone is well. It has come to my attention that students aren't able to log in to "my Library account". I am not sure if this has anything to do with the switch to ctcLink or not. Staff are still able to login using their network credentials. Any ideas as to what may be going on?
