[Wactclc-alma] Your Ex Libris published cases – Take Action Now

Thanks, Wade and Kirsti, as always!

A couple of things I’ve learned in the last day…

1. Ex Libris told me that I chose to “enable the publish option in 2020.” I don’t personally recall that (as most of 2020 is a blur), so wanted to give others a heads-up that they might have done the same.

2. In reviewing my Published cases, I realized that at least one has our proxy test info that we supplied to Ex Libris. Definitely not something we want in a knowledge article!

So right now I’m leaning in Wade’s direction of doing nothing and not giving my permission.

Lesley,

My recommendation is to not do anything.

Doing nothing will prevent any of your published cases from becoming knowledge articles. (Unpublished cases are not affected either way.)

There’s really no upside to publishing your cases, and when you publish cases it risks exposing sensitive info.

In my experience, content quality and value in SF cases is generally low, and mostly customer specific. I’m personally not happy about the ExL decision to convert published cases, with permission, to knowledge articles. I have a feeling its just going to pollute Google and site searches with lower quality content. I’ll be happy if I turn out to be wrong about that.

Any SalesForce cases where you didn’t click the "Publish to All" button won’t be converted to Knowledgebase Articles.

Assuming you didn’t click the "Publish to All" button if you submitted a case with personally-identifying information, then you should be good.

It will be ok!

Hey Alma crew,

Did anyone else get this message? Can y’all think of any reason not to let our closed cases be converted to Knowledge Articles?

Some of mine are probably full of typos and asking obvious questions. :) However, are there any real privacy concerns I should be worried about for my students and institution?

Thanks,
Lesley

Dear customer,

On November 8, 2021, we will launch the new ProQuest/Ex Libris Support Center.

Changes to case publishing improves data privacy

The ProQuest/Ex Libris Support Center is designed to protect the privacy and security of your data. As a result, your cases will no longer be published and visible to anyone other than your institutional users.
With your permission, your closed, published cases will be converted to Knowledge Articles, which will be visible in the new Support Center to logged-in, authenticated users only.

You are getting this message because some of your cases are published. We are aware that some customers did not get our previous message regarding this change.
Please provide your permission here<https://nam04.safelinks.protection.outlook.com/?url=https%3A%2F%2Fr20.rs6.net%2Ftn.jsp%3Ff%3D001u8tHqi2ZuYSyiRLOZOast6UU8qc6Gg5qKslla-dbThEVciRTr1MVUllj-ePnoC0EcZzJfubYDMxcW9-C4cjnhd1zJ2XF-YKMcVSja2sm8nnZwDGKx81Hy-SjTpgYiAPHMAQULsLAxRvh1enOJuLJjdt6aRUN5sZKYiV9sl0fr5pE38YHMpMeOenc6MpUF9TYf8kXrQjNPZBVfOV_lPw-kGTKJdj5T3xEMRX3AMBlaex_Acj57qJ-BY7OkCzAB6nasWILAvmjhWcJ-GUE7d3Sf135AQJFuPSf9-t0xpWMV8E%3D%26c%3DJ49v17BvqRe-IH0IV-r8I-37p_GPYlbA3Eo3Aynk_sp_R4LWp4DUQw%3D%3D%26ch%3Ddi0WX_-iixUrIhnWSPWStMUiP5jlkTTF5pbxcx6y5Iw0TgWzYzfSFw%3D%3D&data=04%7C01%7C%7C723e542f255b41843e9608d99e4a4fe7%7C02d8ff38d7114e31a9156cb5cff788df%7C0%7C0%7C637714864281735371%7CUnknown%7CTWFpbGZsb3d8eyJWIjoiMC4wLjAwMDAiLCJQIjoiV2luMzIiLCJBTiI6Ik1haWwiLCJXVCI6Mn0%3D%7C1000&sdata=ZTBw7tFmPvQB%2BRUuw7bAn8Kae%2F8qmpW7xLYyYCjdfeU%3D&reserved=0> by November 6, 2021.

Here’s what you need to know:

· Knowledge Articles will be visible to logged-in, authenticated users only and, like your cases, will be stored in the newly integrated support center
· With your permission, all your institution’s closed published cases from 2015 on will be recreated as Knowledge Articles, with a publishing date later in the year
· If you choose to provide permission, be sure to review your published cases and “unpublish” anything you don’t want available as a Knowledge Article
· Without your permission, none of your institution’s closed published cases will be published as Knowledge Articles
· All open cases and closed cases that were opened since January 2015 will be available to your institutional users as cases, regardless of your decision to publish them or not

More details regarding this change, and the required action are available on the Knowledge Center<https://nam04.safelinks.protection.outlook.com/?url=https%3A%2F%2Fr20.rs6.net%2Ftn.jsp%3Ff%3D001u8tHqi2ZuYSyiRLOZOast6UU8qc6Gg5qKslla-dbThEVciRTr1MVUllj-ePnoC0ECBqCIOSOMXq3Z_kwkXgjy38yCs4CnzOoRlZrjzFIHxOLJHhLC0a_BVXrLHd6izbYbpiKkqz-4CYSaOLtWXA6R5H9ibUoJVuVMtn84do1eUP_7C1axaBbj_e9NuUfUGShYS2LO382VZsh27vCam42LZsoXMy5NnLxYyUYLmu8Em-yaT8xqrCDgP-6CzoG1LRHLMnG8vrKsq0-ogpnS6V2TANg-AaHBoRYXz2ylR44ew6FaY8Zlnp9nkWGfg5VNPYtd1YgpDwzsldR6uZy-4wT4gVk7j37TYU8%26c%3DJ49v17BvqRe-IH0IV-r8I-37p_GPYlbA3Eo3Aynk_sp_R4LWp4DUQw%3D%3D%26ch%3Ddi0WX_-iixUrIhnWSPWStMUiP5jlkTTF5pbxcx6y5Iw0TgWzYzfSFw%3D%3D&data=04%7C01%7C%7C723e542f255b41843e9608d99e4a4fe7%7C02d8ff38d7114e31a9156cb5cff788df%7C0%7C0%7C637714864281745337%7CUnknown%7CTWFpbGZsb3d8eyJWIjoiMC4wLjAwMDAiLCJQIjoiV2luMzIiLCJBTiI6Ik1haWwiLCJXVCI6Mn0%3D%7C1000&sdata=%2B01EgmAF6N5amVZzlQB8zzHg4eAFVLwty99GNy14sZ4%3D&reserved=0>.
