We don’t have EBSCO PDA/DDA but we do have an ebook collection (Rittenhouse R2 Digital) for our Nursing program that’s DDA.



There’s a special place in Alma for managing PDA collections.



Alma > Acquisitions > Advanced Tools > Patron Driven Acquisition (PDA)



Basically, you create an import profile that lets you import bib records and create activated portfolios, and another import profile that lets you import order data for titles purchased after the use threshold is hit.  I think there’s also a third import profile that lets you delete bibs and portfolios when a title gets removed from the PDA/DDA collection.



Alma Online Help says using the Advanced Tools for PDA/DDA collections does the following:



Alma's matching process verifies that the related inventory items exist and are linked to the PDA and creates the PO lines for these orders (linked to the inventory). Note that only bibliographic records linked to the PDA are considered during the matching process.



Our experience is that the matching does *not* work the way Alma Online Help says it will. When we import records for newly available PDA/DDA titles (as opposed to titles purchased from triggered use), all Alma IZ bib records are considered as potential matches.  Maybe that statement is supposed to apply when you’re loading bibs with order data?



We experimented with activating selected titles from a CZ electronic collection using vendor title spreadsheet.  In this particular case, we found that bib records from the CZ were more complete than vendor bib records *but* we discovered that the Excel spreadsheet we got from the vendor included "Archived" titles that were inactive for PDA use. We wondered if we could run the vendor records through a PDA import profile and use that to activate titles directly from a CZ electronic collection, but we couldn’t ever figure out a way to do that, but that could be because I have CZ matching turned off at the system level for all import profiles.



We export MARC records for this PDA Collection from the vendor admin portal and import via Alma > Acquisitions > Advanced Tools > Patron Driven Acquisition (PDA) > [PDA profile] > Import Repository.  We have things set up in the vendor admin portal so specific staff get email notifications when a title is added to or removed from the DDA collection.  This lets them know when they need to go get new MARC records.



We haven’t had any purchases triggered by use yet. When this happens, we’re going to try these 2 different workflows and see what works best:



o   George/Chris export MARC records from the Order History area of the vendor admin portal and edit in MARCEdit. They import EOD records via Alma > Acquisitions > Advanced Tools > Patron Driven Acquisition (PDA) > [PDA Profile] > Import Orders.  Mary Matney downloads OCLC records and manually relinks appropriate portfolio records after the fact

o   Mary M. gets list of purchased titles from the Order History area of the vendor admin portal. She catalogs titles in OCLC Connexion and notifies George/Chris when done. George/Chris add order data to Connexion record and import via Alma > Acquisitions > Advanced Tools > Patron Driven Acquisition (PDA) > [PDA profile] > Import Orders



I’m kind of big on the idea that we use OCLC records for anything we own/license long term or in perpetuity.  We may end up moving titles we buy out of the PDA electronic collection and into a local electronic collection for purchased titles but we haven’t figured that out yet.
