It is time to do Wade Guidry’s, the WACTCLC’s Library Consortium Services Manager, evaluation. I’ve managed to avoid doing them for a while and my HR dept. finally caught up with me.  While I am technically his supervisor, Wade really works with staff members at our various libraries far more than he does with myself, so I need your input to come up with anything with validity and value.

That’s my assumption too—the permissions are global for whatever institution you belong to, but only the institution you belong to.  In our case, the institution is “Seattle Colleges”

Just FYI for everyone… Kirsti, when you say “cannot be limited by College…”, in this case I assume you’re talking about North vs South vs Central Seattle. And NOT across all institutions.

Right after our Thursday call, I had a call with my boss (Vice Chancellor for Academic and Student Success) and our Purchasing folks and reported the problem that the other libraries are having with not being able to check ctcLink to confirm when invoices have been paid.

My boss put me in touch with our our ctcLink Finance Pillar Lead, who says: “There is an Accounts Payable Inquiry role which gives you access to Voucher and Payment information.  It cannot be limited by College nor by Department so you and your team would have access to all AP Vouchers and Payments.”

Our ctcLink Finance Pillar Lead is setting up some trial reports in our test environment to see how this might work. I’ll report back to everyone what we find out. If I haven’t given you folks an update by the end of February, assume I’ve forgotten and feel free to ask for an update.

It will be ok!

The tool you will see mentioned is “PS Query”, which is a different tool than the OBIEE we talked about. (PS Query is more analogous to Alma API, where OBIEE is analogous to Alma Analytics).

So, for example, Melinda, you could reach out to the PS Query contacts listed for Spokane, let them know the type of information you need (paid invoices on a scheduled basis), and see if they will can than query for you and schedule it. Or, you could at least try this approach. Each institution will probably be a bit different in how such requests are dealt with. But certainly worth a try!
