[Wactclc-alma] Creating titles and POLs simultaneously via an import profile, and doing so with an Excel Spreadsheet

Thanks, Kirsti.

Do you know, is the no POLs-via-a-spreadsheet a documented limitation of the process?

I was kind of wondering about this, but I didn’t see any caveats about MARC fields used for POL creation.

Wade,

When we were experimenting with loading Amazon orders via Import Profile, we learned that you can create MARC records with attached item records from a spreadsheet. What you can’t do is create POLs by importing directly from a spreadsheet.

If you have a spreadsheet with order data and you want to use it to create both brief bibs and POLs, you have to go through an intermediary step of using MARCEdit. The Delimited Text Translator function in MARCEdit lets you map columns from a comma-delimited file to specific MARC fields and subfields. MARCEdit will then create a bunch of MARC records with order data for you. You can then use an import profile on Alma to create brief bibs with POLs when you import the MARC file created in MARCEdit.

As I mentioned on this morning’s call, I’m starting a thread in response to Paula’s pursuit of POL creation via an import profile.

You can add PO Line information as you load records, by using and mapping MARC fields and subfields to POL fields.<https://nam04.safelinks.protection.outlook.com/?url=https%3A%2F%2Fknowledge.exlibrisgroup.com%2FAlma%2FProduct_Documentation%2F010Alma_Online_Help_(English)%2F040Resource_Management%2F060Record_Import%2F020Managing_Import_Profiles%23Creating.2FEditing_an_Import_Profile%3A_PO_Line_Information&data=02%7C01%7C%7C415d6c6f4bfe40d5c56108d859c985f1%7C02d8ff38d7114e31a9156cb5cff788df%7C0%7C0%7C637358069385750378&sdata=shYKmq22mAIsey%2F3OJ7e8rs1DQPwDuYCeqe6U6Ih0hk%3D&reserved=0>

Here is a screenshot of the PO Line Information tab from an import profile used by Seattle Colleges<https://nam04.safelinks.protection.outlook.com/?url=https%3A%2F%2Fdrive.google.com%2Ffile%2Fd%2F1aVfdosIw7TUBlLd3xTrHTLp_DAqxvgQJ%2Fview%3Fusp%3Dsharing&data=02%7C01%7C%7C415d6c6f4bfe40d5c56108d859c985f1%7C02d8ff38d7114e31a9156cb5cff788df%7C0%7C0%7C637358069385760379&sdata=eKj2c9DvSmvIJfXDaXvGQX%2Fc2JuhKr%2FPyv35L%2FKAVLI%3D&reserved=0> to create POLs for titles ordered from Amazon.

In addition, to make record setup easier, you can enter MARC field data in a spreadsheet instead, and load records from that source<https://nam04.safelinks.protection.outlook.com/?url=https%3A%2F%2Fknowledge.exlibrisgroup.com%2FAlma%2FProduct_Documentation%2F010Alma_Online_Help_(English)%2F040Resource_Management%2F060Record_Import%2FImporting_Records_with_CSV_or_Excel_Files&data=02%7C01%7C%7C415d6c6f4bfe40d5c56108d859c985f1%7C02d8ff38d7114e31a9156cb5cff788df%7C0%7C0%7C637358069385770373&sdata=7axS4fcOh1Y%2Bok4Q7%2FY3rpSlJKvVefE%2B8g7MZz4fUSk%3D&reserved=0>. As we discussed, creating the data in spreadsheet, rather than formal MARC record, form might make data entry easier and faster.

The tricky part here might be the 008 field. But you can enable a configuration setting, as described in the doc above, to automatically have the 008 field created upon import.

Please reply to the list with any comments, thoughts or questions re: this discussion.
