[Wactclc-alma] Overlap P and P

Hi Wade,

Thank you for your demonstration today on pivot tables. It was very helpful. I will have to wait until your recording comes out to see if I can recreate the results.

I tried doing the pivot table in Alma, but I couldn't get it to work. I also tried to do the pivot table in Excel and managed to get to the step of putting things in columns, but my update button is greyed out, and I couldn't get the same results, so I guess I must be missing something. At least I know from your demonstration that we do have a small handful of VHS titles that we also have on DVD.

It would be great to be able to include our electronic titles, but I'm sure that is completely different ball of wax. This is supposed to be something that can be done by simply using one of the overlap reports. I linked to those reports in a previous email.

For this, you can create a pivot table (same concept as a pivot table in Excel, or a crosstab query in Access).



Create your analysis in the physical items subject area.



Add bib title, and material type where any equals DVD or VHS.



Then, create a pivot table the title as rows, and the material type as column.



That will give you a row for each title, and whether the title as DVD, VHS, or both.

You could also do the same thing by exporting the basic analysis to Excel, then doing the pivot table in Excel. You would achieve the same thing.

I have been trying to run an overlap analytic report to see what titles we have on VHS that we also might have on DVD. The Alma Overlap report uses Titles, and unfortunately the only material type available in this overlap report is Bibliographic material type. This means when I go to filter the list, I am unable to select video cassette and DVD. I am only able to select Visual Material. Does anyone know how to work around this?



At some point, I would actually like to include Electronic inventory, but for now, I just wanted to get an idea of what we might have on VHS can that safely be withdrawn from our collection.
