[Wactclc-alma] Fulfillment Unit / TOU, etc

I have been working on setting up the Fulfillment Unit, Rules and Terms of Use for the Tutoring Centering (TC).

I don't know if what I have done is correct, or if I am just creating more of a mess.

Step 1: Physical Location added at the Library level

I was recently told that I need to add a circulation desk, and holdings configurations. I added a circ desk, but I don't know if I did that correctly. I don't know what I am supposed to do under the holdings configuration area.

Step 2 Fulfillment unit added at the Institution level

I just have the FU titled TC - I am wondering if this should be more specific, such as TC - Tablet. It seems that FU Location just seems to be selecting the Physical location that was set up in Step 1.

Setting up this area has been confusing. I don't know input for a lot of the of the fields. I ended up reviewing what we had set up for a 28 day loan period and copying some of the field information from there. For example, line 2, is recallable is set to recalled allowed in the 28 day loan ToU. Not sure about line 8 - Lost Item Replacement Fee being set to Lost TC and EL replacement fee. I don't know where that came from. I know that I didn't set up any Lost Item Replacement fees for TC & EL.

I am confused as to when a new ToU needs to be created, by different types of material?

When do Item policies come in to play? When should an item policy be created.

I think I have touched on all the steps involved. Please be sure to let me know if I am missing something. It sure would be helpful to have a step by step guide that would walk someone through this process.

As a side note, I have never worked in an environment that needs SO much hands on configuration by the end user! It seems ridiculous to me that a person should have to go through this many steps, just to set up the ability to check out new types of materials.

I can't test to see if the other Fulfillment Unit; ToU and Fulfillment Unit Rules are set up right for the TC - Tutoring Center - Tablet, because the tablets still need to be cataloged.

Also, I went to look up the Fulfillment Unit Rules for "Equip" and noticed that there are multiple entries for each user group.

I also noticed that Item Policy is a parameter that can be added. When would someone use the Item Policy?

Did you do a test checkout or something on it?

I would just do a return item on it first, to get it checked back in, and then edit it.

I removed the Material Type and am now only using User Group and Location.

I went through the Terms of Use on our 28 days loans to see how we had those set up, and matched some of the options, as I am pretty sure that will be the same parameters for the full quarter loans.

The Chromebooks are already cataloged, so I went into one of the items to change the permanent location to EL. The Temporary Location was set to Yes - with the temporary location being CPTC equipment. I tried to change the temporary location to NO and clicked on Save - and I get the following pop-up.

I also ran the Fulfillment configuration utility

I figure that I am getting this result, as the temporary location is set to CPTC Equipment. The only equipment that we have that normally checks out for one day is webcams, and headphones.

At this point, I am not sure what I have done right, and what I need to fix. Any and all help is much appreciated.

Colleen,

When you’re setting up the rule, if you use ‘InList’ rather than ‘=’ as the operator, you can select multiple user groups to match against.

Also use *ONLY* User Group and Location as rule inputs.

Do *NOT* use anything else BUT User Group and Location in your rules.

While you technically can add additional fields to rules, that leads to A LOT of DIFFICULTY in troubleshooting and understanding the way your rules are working.

If you find you need a circulation rule that you can’t set up using only LOCATION and USER GROUP, that means you just need to create a new location.

Believe me when I say, I (and a lot of others) have the battle scars validating approach to fulfillment rules in Alma. :)

Hello everyone!

Thank you so much for your help during the call today.

This is what I have attempted to do, but I don't know if I have done it correctly.

I created two separate Fulfillment Units. One for TC (Tutoring Center), and one EL (E-Learning).

Next, I assigned the Fulfillment Unit Location for each.

Next, I applied Fulfillment Unit rules - under the rules, I named the rule something like TC - tablet. It forces you to fill in every field... such as lost replacement fee, and that is still to be determined.

I only seem to be able to apply the rules to one user group. For example, they want to allow the staff tutors and student tutors to check out the tablets, and faculty last, if we have any left. Well, I am only allowed to put in one User Group - I selected Staff, Material Type, Location, and then I can't add a user group for students. Am I missing something.

I am not sure if what I have done so far is correct.
