[Wactclc-alma] Item Withdrawl Report

I am unfamiliar with using the Inventory Price field on an item record. When I was shown how to input an Item Record, I was told to fill in the following fields - barcode, material type, item policy, receive date, replacement cost, and location information.

I have not tried to add the formula to the Replacement Cost column yet. Looking at the command, it doesn't look like that would control decimal point placement.

I will see if I can find out where and how to add the fiscal year information.

Replacement Cost isn’t numeric in analytics (not sure why).

So, you need to add a formula to that column when used, as follows:

CAST("Physical Item Details"."Replacement cost" AS DOUBLE)

We use the replacement cost as the replacement cost only for expensive items, but let the Terms of Use decide the replacement cost for everything else. I don’t think what you paid is what it costs to replace an item.

We don't do any purchases using Alma, so maybe that's why no Inventory Prices show up. We buy a lot of our material from the campus bookstore, so we just use the replacement cost field on the item record to note what we paid for an item.

I do not know what subject area to look under. I don't know why I can't seem to set up fiscal year, and set the replacement cost to display decimals.

Yes, Replacement Cost is a good field to include.

Inventory Price is the price recorded (if any) at the time of purchase or addition to catalog.

Replacement Cost is a cost that might be charged to the user upon loss of an item, if a replacement cost is configured in the associated fulfilment term of use. (Replacement cost is like a default cost of an item that gets charged the item does not have a specific price cataloged.)

I haven’t used the canned reports much, but sounds like you found one to start with.

Hey Wade,

There is a canned / out of box report that I was trying to use, that Exlibris mentions on their webpage. The problem is, I am not sure which folders to use to get the report to display fiscal year numbers, price, etc. I don't know if using Inventory Price is the right one in your example. I think it may need to be Replacement Cost, which is a field we always fill in on the item record..

The path to the out of box report I have been trying to configure is.

shared folders/Alma/inventory/reports/item withdrawals

I created a simple example to follow.

You can find it in the shared analytics folder here:

/shared/Community/Reports/Consortia/WACTCLC/Collection Development/withdraw-report-example

The report is on the physical inventory subject area.

Criteria in the report include life cycle, date last modified, title, material type, and price.

You can export the data to Excel to do additional math on the report.

If your library doesn’t include price in some or all item records, then you’ll just have to estimate prices, maybe based on material type.

I have been asked to create an Item Withdrawl report. I know that there is an out of the box report, but I am unclear as how to configure it to display the analytic information that has been requested.

We would like to know the number of items withdrawal in the fiscal year, the average cost per item, and the total cost of the items that were withdrawn.

Could someone help me with setting up this analytic report?
