[Wactclc-alma] Can't place Work Orders on Lost Items

Thanks! I figured that was the case, but in all my Googling I couldn’t find anywhere that explicitly called out recalls and lost items.

Lesley,

From the documentation, I would say you are correct.

And it makes logical sense. If something has a status of LOST, there has already been an issue getting the item back. A LOST and a bill should be a bigger push on the patron than a recall.

So, depending on a recall at that point to make the item available to someone else might lead to disappoint to the user for whom the item is being recalled.

Typically, the recall would attach to another ‘live’ item on the same title, if another item exists.

Otherwise, the move might be to first renew the item to the patron holding it. And then you could issue a recall.

Hi all,

I am guessing this is connected to our earlier conversations about how Ex Libris sees “lost” items.

I verified that our settings (letters, recall config, tou) allow for recall. However, it seems that Alma won’t recall Lost items. Is that correct?

For some background info, we had a student submit an ILL request for an item we own. Turns out a faculty member has had it since summer and it now has a lost status. We have found workarounds for this, but I just wanted to confirm that Alma won’t recall Lost items.

Thanks!
Lesley

Just an FYI for the curious. The Lost Request issue was fixed with Sunday’s update.

Dear Lesley Caldwell,

A new comment was received for case #00756347:

Case Title: No longer able to request Lost items in Alma or Primo

Last comment:
Hi Lesley,

I would like to update you that we have attached this case to an open defect that was fixed with the December 2019 release that was over this weekend. Please let me know if you have any further issues.

Thank you both, Kirsti and Wade. Y’all are awesome as always. I totally get that we probably developed our own habits that might not align with how Ex Libris designed things.

Also, the plot thickens! One of our Saturday librarians tried to request a Lost Item from Primo and got the message, Internal server error occourd (Ex Libris’ spelling error, not mine :P)

I just replicated it with another book. So something is going on with Lost items!

Good suggestion, Kirsti.

I had the same thought that purchase requests would be one way to handle replacement of lost items.

I also wonder if closing the lost loan would allow a work order.

I’ve been digging, and I did find a setting for allowing requests (a work order is a request) on MISSING items. But no luck so far on LOST items.

I just posted a general question to Alma-L, and maybe will get a quick crowd-sourced answer. Stay tuned…

Leslie,

We're not doing anything like this, but I think you should file a case with Ex Libris to document this change in functionality.

My guess is that the programmers at Ex Libris are operating under the assumption that once a Lost Loan is closed, the only thing the library will need to do with the associated item record is delete it.

They probably never foresaw or expected that anyone would be trying to create work orders on these items.

Thinking like am Ex Libris programmer-- what about creating purchase requests for Lost items that the collection development folks can approve/reject instead of using work orders? I'm guessing that that's the kind of process an Ex Libris programmer would expect a library to follow.

Hi all,

I'm guessing by the no responses that this is just us -- haha.

But, thought I'd bump it again on behalf of my circ folks. For a bit of context, they want to be able to put work orders on items that are Lost as a way to notify collection development folks that we need to replace an item.

Thanks!

Lesley

Hi all,

Our circ team discovered this on Friday, and they believe it is a new restriction. I did some digging and found that the message “Failed to save the request” was because No circulation desk was defined for the location of the item<https://nam04.safelinks.protection.outlook.com/?url=https%3A%2F%2Flinkprotect.cudasvc.com%2Furl%3Fa%3Dhttps%253a%252f%252fknowledge.exlibrisgroup.com%252fAlma%252fKnowledge_Articles%252fNo_request_is_possible%25253A_%252522Failed_to_save_the_request%252522%26c%3DE%2C1%2CEYVRt3gYRy5hTn8dEbQi6n4f5no7LPe56BiVx4YLFWnCnpCJL55agJM8FhZ7gWEkFYL3M3xaF-NktY37urr6oZoLwgAyNgZW7Vcob7UX1zpauGhSmc32ug%2C%2C%26typo%3D1&data=02%7C01%7C%7Cceada80f1e194794960308d76a09a111%7C02d8ff38d7114e31a9156cb5cff788df%7C0%7C0%7C637094461910496433&sdata=%2FoAhIhrLIQRZMX0RxIesdV8pxR%2BViLfZ2bOyAucQ06I%3D&reserved=0>. We’ve replicated this with books that went lost as recently as this summer and as long ago as pre-Alma.

If I move the item from Lost to Found, it lets me submit the work order. However, circ believes they didn’t have to take that additional step before.

Anyone else experiencing this?

Thanks!
Lesley
