[Wactclc-alma] [EXTERNAL] - Change Due Date of Lost Item?

Just FYI, I did spend some time attempting to change the process type on LOST items via the API.

Unfortunately, I wasn’t able to do it successfully. The LOST process basically represents the end of the road for a loan transition in Alma. (You can think the item as being LOST from the perspective of the library and other patrons, who no longer have use of the item.)

It is assumed that a LOST item has been billed, and the patron either has to pay for the item or bring it back before anything else can happen in Alma.

It’s worth highlighting this fact, in the event that some of you want to extend the amount of time that passes before an item is sent to LOST and billed to the user.

Previously, some of you had been sending transactions to LOST sooner rather than later, as a way to reign in patrons that abused their privileges. But especially with the new restrictions on placing blocks on transcripts because of library amounts owed, a LOST item bill from the library has even leverage as a way to get items back from patrons.

The other functional use of LOST is really to indicate to library staff which items need replacing, and also a way to indicate in Primo that an item is no longer available. For that purpose, the LOST process still has meaning.

So, it’s kind of a matter of balancing transaction flexibility with the functionality the LOST status provides.

Thanks to everyone for responding!

I think the real problem we’re having at Pierce College is trying to make Alma flexible. Haha.

Colleen,

Alma does have an overdue status as well as a Lost status. You can control when these statuses are triggered in Configurations - Fulfillment - Physical Fulfillment - Overdue and Lost Loan Profile. At Edmonds for example, a main collection item becomes Overdue 1 day after the due date. It becomes Lost 2 weeks after the due date. The issue Lesley is dealing with is the inability to revert a Lost item back to Loan status by extending the due date into the future.

I just want to be sure that I understand this - if a item goes a certain amount of time past its due back date its status is automatically changed to lost? Does Alma not have an "Overdue" item status?

It would seem that a student/patron would need to be report an item as lost, or go for an extended period of time past its due back date in order for an item to have a "lost" status.

Best,
Colleen

Lesley- We had this same problem at Edmonds. Unfortunately there is no job that converts process status from Lost to Loan nor will extending the due change the status. Clare and I had to manually mark hundreds of loans "found" before extending the due date. It was absolutely maddening. I wish Ex Libris had a fix for this.

I think once a book is “lost” you can’t just change the due date back to an earlier date. But I’m not sure what you’d need to do to accomplish what you need to do!

Hi all,

Pierce College has been doing a lot of Alma gymnastics while trying to accommodate both ctcLink and COVID issues! One of the changes we made inadvertently extended the due date of for some students who were in Alma as Staff. They now have items due in December even though they were actually due in June and Alma has marked them as “lost.”

We want to move their due date back to the end of this quarter (8/20), but we get an error every time we try that in Fulfillment: "Due date of 1 out of 1 loan/s failed to be changed".

Any ideas?

Thanks!

Lesley
