[Wactclc-alma] creating POLs in bulk for eBook portfolios

Heather,

Since EBSCO makes MARC records available for download via WorldCat Collection Manager, one idea to bring up with them is setting things up so that when they communicate to OCLC which titles you've purchased, they also communicate the order data too (if that's possible?). If they're capable of doing this for ebooks, the same way they can do it for shelf-ready print orders, then you should be able to grab records from WorldCat Collection Manager and use an import profile that would create POLs and activated portfolio records in one fell swoop. I just don't know if the ebook ordering system can be set up to allow you to enter your local fund codes when you place the order on their platform or not. Hope this makes sense.

It will be ok!

Hi, Amy.

Thanks for reaching out with this great question. I'm working on a similar experimental process right now too. Full disclaimer, this is a brave new world for me, but I'm excited to learn, as I've had a lot of success creating import profiles to bring in huge batches of inventory for netbooks. I'm grateful to work together with everyone for their ideas, suggestions, and past experience.

I'm looking at trying to do this in two stages:

  1. Bring in a batch of eBook bibs (coordinated with our EBSCO rep to include linking fields / public notes in specific preconfigured MARC fields) using an import profile that will auto-create the portfolios based on those fields. See the Alma Knowledge Center article Managing Import Profiles<https://nam04.safelinks.protection.outlook.com/?url=https%3A%2F%2Fknowledge.exlibrisgroup.com%2FAlma%2FProduct_Documentation%2F010Alma_Online_Help_(English)%2F040Resource_Management%2F060Record_Import%2F020Managing_Import_Profiles%23Creating_an_Import_Profile%3A_Profile_Type&data=02%7C01%7C%7Cacb3bb9e1dd54b69cb1808d7e6f7562c%7C02d8ff38d7114e31a9156cb5cff788df%7C0%7C0%7C637231822300301799&sdata=jssWfMtDyp79fbF0RfGoK1o%2F6oef0fJyuupzpUCJgtw%3D&reserved=0>, and the sections below.

     * Creating/Editing an Import Profile / Type: Repository - Create
     * Creating/Editing an Import Profile: Inventory Information / Electronic

  1. Next, once I have the bibs imported and the portfolios created, I plan to use the Import / Physical Inventory - Update feature to create POLs for each of the bibs matching on MMS ID. See the Creating/Editing an Import Profile: PO Line Information<https://nam04.safelinks.protection.outlook.com/?url=https%3A%2F%2Fknowledge.exlibrisgroup.com%2FAlma%2FProduct_Documentation%2F010Alma_Online_Help_(English)%2F040Resource_Management%2F060Record_Import%2F020Managing_Import_Profiles%23Creating.2FEditing_an_Import_Profile%3A_PO_Line_Information&data=02%7C01%7C%7Cacb3bb9e1dd54b69cb1808d7e6f7562c%7C02d8ff38d7114e31a9156cb5cff788df%7C0%7C0%7C637231822300301799&sdata=L28DT6J6zugvYzgBDA609luRUIozvNnSRddglaOPQdE%3D&reserved=0> Alma knowledge center article.
At least this is the plan.... ^_^*

I have a meeting with Marianne Le, our collection development librarian who is our EBSCO rep, tomorrow as a first step to figuring out this workflow. Next, I'm going to reach out to the vendor to pitch the process and work with their team to tinker with the records for import. Once I get a test record, I'm going to pilot the process. I'll share the results if you like?

Take care everyone. Best wishes for all your endeavours.

Hello all! Until now we’ve just purchased fairly small numbers of ebook monographs from Ebsco eBooks. In those cases I search for the electronic portfolio in the CZ, find the correct electronic portfolio in the correct electronic collection, “Order” it in Alma (including entering a price and fund) to create a POL, the POLs get packaged into a PO, I activate the portfolios in Primo, etc.

We are now ordering much larger numbers of eBooks. Is there a way to do this POL creation process in bulk, rather than one at a time, if we have a list of ISBNs? And set up so that the process would only choose the portfolio from the Ebsco Ebooks collection, from the available collection choices in the CZ? And assign the correct prices and fund for the POL? I’m thinking that’s a little ambitious but before I start on the next large ebook order, wanted to make sure I’m not missing something.

Thanks,
