We can add item information for gift books in Connexion so that item records and holdings are created via bulk import.

Import Profile is called Gift Books

The import profile will automatically assign the Material Type Book to all items.  If you have something that's not a book, you'll need to update the Material Type in the item record after import.

The import profile can be used with gift books that already have a copy at the same location in Alma. If a holdings record currently exists for the same location, the existing holdings call number will stay the same and the item record will be added to the existing holdings record.  Be aware that call number fields in the incoming bib record will overwrite call number fields in the original Alma bib record even though the call number in the holdings record won't change. You may need to update bib or holdings records after import in these cases.

For each item record, add a 949 field in Connexion:

For a multi-volume set, you can create the 866 summary statement from a 946 field in the Connexion record.  Indicators for the 866 field, and subfield 8 have to be added to the 866 in Alma after the import job runs.

Remember that if there are multiple call numbers in the bib record, you need to move the call number you want Alma to use to be the first call number before you export from Connexion!  (For more info see: Notes about call numbers  (Web view))

If Alma doesn't recognize the library codes and location codes in the 949 fields, it will assign the library: Seattle Colleges Library Technical Services and the location: PROBLEM during import.

Do an Advanced Repository Search of Physical items with the current location: Library Technical Services - PROBLEM after import to find problems.

Items show as available immediately after import. Do one of the following:

Option 1.

If batch of books is ready to be sent to library, scan in items setting status to "Cataloging" and making sure the "Done" question is answered "Yes." This will change the status of the items to "In transit," so they will not be available for request. Box books for shipping.

Option 2.

If batch of books are not quite ready to be sent to library yet, scan in items setting status to "Cataloging" and making sure the "Done" question is answered "No."  This will change the status of the items to "Manage Locally," and show their location at LTS.  They will not be available for request.  When books are ready to ship to library, follow instructions in Option 1 above.
