[Wactclc-alma] Remove "Lost and Paid" status

There's a way that you can restore deleted items. I've never done it, but Alma Online Help says it's possible (How many times have we all heard that?):

Thank you, Kirsti and Stephanie. It makes sense that the "Lost and Paid" status is intended for items that are not coming back ever.

Our policy has been that if a lost/paid item is returned within 180 days, the patron would get their money back minus the processing fee and overdue fine.

If we keep our policy as it is, a work-around may be to withdraw the item, then add it back to its original holding and bib, which of course would lose its previous history.

>From everything I've seen, the "Lost and paid" status is really intended to only be used in situations where the item isn't ever coming back.

If the patron has paid their bill for the lost item, and you now consider the lost item to be their property and won't accept it being returned, then you should use "lost and paid."

But if you've billed the patron, they've paid for the lost item, and tomorrow (or 2 weeks/2 months/2 years from now) they find it and bring it back and you decide to accept the lost item and refund their money, you'll have a big mess on your hands if you'd marked the loan "lost and paid."

Basically, you should only mark something "lost and paid" in Alma, if you will not, under any circumstances, accept the return of the item anymore.

We ran into that problem too and I couldn't figure out how to do it. Nothing I tried allowed me to do it until I disabled it. I'm going to be experimenting with the lost and paid status option because I'm wondering if it's something that is not retroactive. For example, if something is checked out when the lost and paid config is not active, then it becomes activated, and the said checked out item is lost and the patron pays for it, once it gets returned, the system doesn't know what to do because it wasn't originally checked out with the lost and paid config activated.

WE ran into this last week and I deactivated it to get the item to go back to "in status." However, when I was testing the lost and paid option with some materials before the quarter ended in March, it worked just fine. But I was testing those materials with the lost and paid option already set to true and it worked when I scanned things in return items to clear the lost and paid. So that's why I'm wondering if it has something to do with when the material goes to lost and paid and whether that status was already activated on check out or not.

I'll share my findings to the group once I have a chance to sit down and test the theory.

Hope this helps. When in doubt, just disable the option, scan in return and check to make sure the item status is what you want it to say.

Now that we have successfully enabled the new "lost and paid' status when patron pays for a lost item. Does anyone know how to remove and restore that status to "in place" when the item is found and returned?

Thank you.

Stephanie:

To enable the new 'lost and paid' status, go to Admin / Fulfillment / Other Settings, and set

https://knowledge.exlibrisgroup.com/Alma/Product_Documentation/010Alma_Online_Help_(English)/030Fulfillment/080Configuring_Fulfillment/110General#Configuring_Other_Settings_(Fulfillment)<https://nam04.safelinks.protection.outlook.com/?url=https%3A%2F%2Fknowledge.exlibrisgroup.com%2FAlma%2FProduct_Documentation%2F010Alma_Online_Help_(English)%2F030Fulfillment%2F080Configuring_Fulfillment%2F110General%23Configuring_Other_Settings_(Fulfillment)&data=02%7C01%7C%7C5509ba4d637343c4c8fd08d6c2af8034%7C02d8ff38d7114e31a9156cb5cff788df%7C0%7C0%7C636910456359909516&sdata=SIiaJi9gcjkKeEa9gdZPmgc3kbjan7Vuqj153d1JAaA%3D&reserved=0>

and set the close_paid_lost_loan setting to true.

Tammy:

I don't think there is a way to run a job and flip items to 'lost and paid'.

To close those loans, I beleive you could use analytics to identify lost loans that have been paid, and then run that set through the 'close lost loans' job.

I'd be interested in learning what needs to be done to set up the lost and paid status too. So far I haven't been able to see it come up on our Alma either. I'm going to assume there's a setting somewhere in config that allows for this to show up, where I haven't had a chance to discover yet.

Subject: [Wactclc-alma] Change Missing to Lost and Paid

Hi, all,

Now that Alma has a way to indicate an item is lost and paid for, instead of missing, I want to change an item from missing to lost and paid. It's a laptop that was stolen when a student's car was stolen. I've tried running the Information Update job which allows you to change status from Item in Place to Missing and vice versa but Lost and Paid is not an option. Do any of you have any other ideas on how to change the status on this item?
