[Wactclc-alma] Item policy wrong in analytics

I duplicated the item policy types that were missing from the library-level policies to match the institutional level ones. I was not sure if that fix would work retroactively, but it does. Now my counts are correct. The question now is what happens if I delete the institution-level policies?


I have been thinking about doing away with item policy types for things that fit into the fulfillment locations without exceptions. For now I will continue to enter them in case there is a reason to create an exception for them in the future. Also, now the counts are finally accurate!

I wasn't aware that there were item policies at the library level.  I always used the institution level.  I checked the item policies for each of my three libraries.  Two were the same as the institution but one was not.  Since the unchanged library was the one where the changed items reside, maybe that was why they were coming up unknown.

I tried renaming an unused item policy.  The name change took effect everywhere except the item records.  I went to the item policies of the odd library and made the change there and now the new name appears in the item records.  I am anxious to see what happens tomorrow after Analytics uploads.

I figured out what my problem is regarding the item policy type counts.
Item policies are counted via the LIBRARY and not the INSTITUTION. I tried adding the Institution name to the query but it made no difference.
When we migrated we ended up with item policies on both levels. Does anyone else have this setup? If not, which level are you using for your item policies - library or institution?

That's possible, Amy.  I've been trying to clean up the item policies we have and move to material types.  Today I decided to edit each of the item records individually and set the item policies to a new Test policy I created.  Tomorrow I'll see of those manual changes show up in analytics.  If they do, then I'll manually change them to the new policy.  The problem could be something with running a job to batch change the item policies.  It's frustrating because all of the other item policy changes I've made have shown up in analytics.

I don't know if this helps in any way, but my item policies are relics from Voyager, many of which we do not use any more.   We are actually in the process of trying to clean them up.  Didn't we have to map our Voyager item policies to fulfillment units in Alma, for migration purposes?  I may be misremembering.  Anyway, I wonder if when you change the name of a policy, you are "breaking" some kind of mapping somewhere in the system, or if you still have items attached to those old legacy policies for which you just changed the name?

I know changes don't show up in analytics until the next day.  I have set my criteria to lifecycle = active; none.

Analytics data gets refreshed nightly. So changes you make in Alma won't appear in analytics until the next day.


You may also be looking at items in analytics that you have already deleted in Alma. those older items may carry an item policy that you no longer use.

I am having a problem getting the correct item policy to display in Analytics.  I changed the name and code of an item policy and now the item policy shows in Analytics as "Unknown."  I have tried deleting the item policy and making a new one with the same new name.  I ran a job on the set to change the item policy.  It changes in Alma but not in Analytics.  I then deleted that item policy and created a totally new one (new code and name), ran the job to update the set, and still have the same problem.  The correct item policy shows in Alma, but in Analytics it still shows as "Unknown."  I have worked with this over several days, giving Analytics at least two days to get updated and the issue continues.  I've created an itemized set so I can check the same titles each time.

Also, now when I filter on item policy in Analytics, it shows a whole bunch of policy names that do not exist on my code table.  Anyone have suggestions or should submit a Salesforce ticket?
