[Wactclc-alma] Searching for PPR

The MARC 540 field is the field that people are supposed to use for tracking "Terms Governing Use and Reproduction Note."  That doesn't mean that people have used it.

Unless your know that your library has made a conscious effort to record your performance rights in the 540 field, you can't rely on it to be accurate.  If you have any DVDs from Films for the Humanities & Sciences in your collection, those always include public performance rights.  It's why they cost several hundred dollars per title. But, in general, you can't rely on any fields in a WorldCat record to accurately reflect performance rights for your copies unless you know that your institution has been making the effort to track performance rights-most haven't.

One of the big frustrations all catalogers have with Alma is the inability to search by MARC fields and tags. :(  As Nina reported, the 540 field isn't a field that's indexed for Repository Search.  I also can't find anything showing that it's indexed in Analytics either.  I've heard some chatter that eventually all MARC fields, subfields, indicators, and codes will be searchable in Alma, but that may be way down the development roadmap.

Wade and Shellie may know more, but I suspect that the only way you can search for records with a 540 note (or even a 500 note that says something about performance rights) is to export your bib records as a MARC file, open the file in MARCEdit, and use the search tools in MARCEdit to identify any records with the desired fields.  (I really hope I'm wrong about this.)

If you haven't routinely been adding information on performance rights to the bib records for your DVDs, you may just have to go through your collection by hand to figure out what has public performance rights and what doesn't.  You could use the Licenses function that's part of Acquisitions to record which DVDs have public performance rights, and then that info would be searchable going forward.

Have you tried to do a repository search for the statement in the 500 field by searching Physical Title and Public Note (Title)? Most indexed fields can be found using the table in the link below (which I was happy to find when I needed information from our local 590s).  But I don't see the 540 listed as an indexed field, and I don't know enough about Analytics yet to tease out that information. Yikes, though, it did give me a flashback to the former "Blob" functions we used when we were on Voyager.
